PRIMARY FUNCTIONS: Responsible for managing the accounting staff, and the oversight of all accounting systems, policies, procedures, operations, reporting, analysis and auditing of the accounting functions of the Finance Department. Partner with the Director of Finance to provide strategic leadership in determining, updating, streamlining and implementing best practices for all accounting functions. SUPERVISES: Finance Office personnelESSENTIAL DUTIES AND RESPONSIBILITIES: Participate fully as a member of the Finance team with an emphasis on communication and collaboration in support of a culture of accuracy, productivity and customer service; Exercise prudent financial judgment and demonstrate a high degree of ethical standards;Manage a staff of 3 full time employees and 1 part time employee providing them with training, direction and motivation in order to continually develop their skills and the quality of their work;Monitor compliance, communication and understanding of the Schools internal control procedures for all accounting records;Ensure the School complies with all of the relevant accounting and reporting standards under the Generally Accepted Accounting Principles set by the Financial Accounting Standards Board;Prepare various monthly financial reports, reviewing them for accuracy, completeness and budget variations; Partner with the Director of Finance to manage cash and short term investments; Review all disbursements for accurate account coding, amount, payee, etc.; sign checks and initial all documentation for EFT payments; Review biweekly payroll processing;Manage/review all endowment related accounting including trust and annuity transactions and tax summaries; Review and coordinate monthly account analysis with staff personnel including cash account reconciliations, restricted expenses and fixed assets;Ensure the accuracy of the general ledger reconciliations of all gift information with the Advancement Office;Review all journal entries made to the general ledger;Assume lead position on preparation of schedules and work papers for annual audit and interaction with the auditors; Coordinate preparation of all tax information for the 990 and 990T;Coordinate preparation and submission of nonresident alien taxes and filings;Manage and account for all bond transactions including bond requisitions, accruals and continuing disclosure;Review and approve monthly sales tax calculations and remittance to the State of Rhode Island;Review and coordinate financial reporting to the Finance Committee and attend meetings;Other ResponsibilitiesReview and monitor job responsibilities of all Finance Office personnel;Coordinate the preparation of all surveys for various school associations (ABOPS, NAIS, AISNE, etc.);Assist in annual budget preparation;Manage all School credit cards;Responsible for adherence to Record Retention Policy and the management of Finance files and storage;Create and monitor Accounting Manual; Assist with miscellaneous tasks as may be assigned in partnership with the Director of Finance.ORGANIZATIONAL RELATIONSHIPS: Internal: All departments, students External: Parents, trustees, vendors, banks, auditors.SKILLS/KNOWLEDGE REQUIRED: Bachelors Degree in Accounting, CPA a plus;Minimum of 5-7 years Not-for-Profit accounting experience including managerial responsibility;Ability to exercise independent judgment with attention to detail and accuracy; excellent verbal and written communication and interpersonal skills;Ability to manage to deadlines while maintaining the highest professional standards; Demonstrated commitment to valuing diversity and contributing to an inclusive working and learning environment;Excellent analytical strategic and mathematical skills;Advanced experience with Microsoft Word, Excel, PowerPoint and Google; Candidate must pass a nationwide criminal record check and credit check;Must be able to read, write, speak, and understand English fluently.This is a full-time position that includes benefits. The Controller will be expected to work a minimum of 40 hours per week with occasional additional hours required.
