Office Administrator
St. Michael Lutheran Church, Kennett Square, PA
Our thriving and busy congregation is seeking a versatile Office Administrator to support the communications and administrative needs of our various ministries and church operations. The ideal candidate would have excellent written and verbal communication skills, a strong proficiency in Microsoft Office Suite and Google Workspace, and a knowledge of email marketing would be a plus. Also, the candidate must show empathy and exercise discretion in dealing with sensitive and confidential information.
Responsibilities
- Telephone/Receptionist: greet visitors and vendors during office hours. Answer and appropriately route phone calls, voicemails, and emails. Receives people as the first point of contact in the church office.
- Prepare bulletin information for weekly worship services and special services. Produce paper and electronic announcements and PowerPoint slides for signboards and livestream. Requires coordination with Music Director
- Prepare and distribute communications to congregation via weekly email and paper as needed. Maintain congregation contact information. (Constant Contact)
- Create and print signups for events, prayer requests, altar flowers and forms to collect necessary information for programs and rites. (SignUpGenius, Google forms)
- Create Meeting links for online meetings. (Zoom)
- Maintain the church facility usage calendar. Primary contact for scheduling meetings, events, special services, and all other affairs for both the congregation and the community.
- Coordinate and help conduct the general business of the congregation including document and report preparation in an ethical, efficient, and organized manner.
- Prepare and maintain various office files, church records and schedules such as the congregation database, master calendar, and hard copy files as needed.
- Maintain office & building supplies inventory.
- Support church committees as needed for various ministry requirements.
- Coordinate with vendors and contractors to maintain equipment and keep the building running efficiently.
- Willingness for flex time during busy seasons: fall, Christmas, Easter
- Manage Payroll operations (Premier Payroll).
- Manage background clearances of employees and volunteers.
- Manage Accounts Payable coordination between team members, vendors and our accounting.
- Other duties and responsibilities as St. Michael continues to grow and pursue our mission. Desired Qualifications:
- Maintain a high degree of confidentiality.
- Excellent oral, written, and interpersonal communication skills.
- Excellent organizational, administration and time management skills.
- Attention to detail, accuracy, and correctness.
- Familiarity with Christian churches is helpful.
- Strong proficiency in:
- Use of a Windows Computer
- Microsoft Office Suite (Word, Excel, PowerPoint)
- Word Processing, Data Entry, Formatting, Clipart
- Google Workspace (File Structure, gmail, Google Forms and Sheets)
- Proficiency in the use of standard office equipment (e.g., copier, scanner, folding machine, etc.).
- A willingness to explore and adapt to new technologies.
- Preferred experience with Constant Contact, SignUpGenius, Canva, Facebook, and databases.
- Must be able to work independently with minimal supervision.
- Background check required.
- Willingness to learn.
Office Hours
Requires in-the-office hours of 35 hours/week (excluding 30 min lunch), Monday – Friday.
Job Type: Full-time
Salary: $41,000.00 - $46,000.00 per year commensurate with experience
