Purpose of Your Job Position
The primary purpose of your position is to assist in coordinating and facilitating referrals for potential admissions. The Admissions Assistant will be an ambassador and welcome agent to the facility.
The Admissions Assistant will act as a liaison to the nursing unit to help ensure a smooth transition with the admissions process for all residents.
Further, the position will act as a liaison with family members as well as the residents of the Facility.
Job Functions
Maintain a daily log of referrals for bed vacancies. Share log with screener and Executive Director / Administrator.
O btain residents’ insurance information when possible at the time a referral is called in. If insurance information is not available, obtain insurance information from screener immediately.
Admit resident to Facility by requiring resident or responsible family member to sign admissions packet within forty-eight (48) business hours.
Advise resident’s family of co-pay amounts and collect revenue. Provide revenue to the Business Office.
Maintain an admission’s filing system as devised by the Admissions Director. Assist in developing procedures to ensure records are properly completed in EMR.
Responsible for communicating insurance approval within thirty (30) minutes to the screener as soon as it is received to expedite admission of potential resident(s).
Stay in constant communication with all screeners throughout the day.
Relay admissions information quickly and efficiently to the Admissions / Marketing Director, Administrator, and all other departments.
Assist potential residents and their families by conducting tours of the Facility and answer questions regarding the Facility and admissions process.
Provide residents with admission information packet (e.g., resident rights, notice of privacy practices, admissions contract, etc.). Review as necessary.
At the time of admission, meet with the resident and their families to assure all necessary forms are completed. Provide forms to the Business Office.
Obtain the following information from all potential residents : PRI, complete admission application, bank statements, financial support statements, and proper insurance verification.
Assure that all departments receive necessary information to prepare for admission (i.e. medications, treatments, and any special needs).
Develop and maintain a good working rapport with inter-department personnel, as well as other departments within the Facility.
- At least 1 year of experience in Admissions office preferably in a Skilled Nursing / Long Term Care facility
- Knowledge of long term care regulations / Medicare / Medicaid / Health insurance a plus
- CNA certification preferred
- Minimum 1 Year of health care experience
- Ability to deal tactfully with personnel, residents, family members, visitors, government agencies, and the public
- Strong customer service focused individual
- Able to multi-task while achieving established census goals
- Team player with strong organizational skills
