SUMMARY – Performs a variety of tasks to maintain records and process payments related to agency
arrests, records, warrants/attachments and collection of traffic/court fines. Receives, verifies, processes,
scans and files all documents related to these records and transactions. Maintains a cash-drawer in
some sections and duties.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

There are three sections within this department. The sections and their basic functions include:

I. Criminal Records

  • Review, control and distribute reports and records for internal agency needs
  • Prepare and distribute documents fulfilling public records requests
  • Input/scan/QC STPSO issued traffic citations
  • Prepare all arrest paperwork necessary for prosecution and forward same to the District
Attorney’s office
  • Complete all paperwork necessary to comply with orders of expungement
  • Maintain quality control on all document imaging
  • Research and prepare background checks on individuals, documenting agency arrests,
bookings, summons and citations
  • If working front desk:

o Interact with public while servicing public counter requests
o Maintain a cash drawer for payments taken at counter
o Make deposits and balance all payments with receipts

  • Louisiana Incident-Based Reporting System – compile and report required statistical
information to the Louisiana Commission on Law Enforcement; distribute completed reports
to the various department heads of the St. Tammany Parish Sheriff’s Office


II. Warrants

  • Data entry and scan of all agency warrants issued through the 22nd JDC and all warrants
received by the agency from parish Justices of the Peace
  • Data entry and scan of all criminal, civil, non-support and juvenile attachments for the 22nd
JDC
  • Index and scan all documents included with warrants and attachments
  • Run daily jail booking report to verify accurate documentation on the booking record of all

warrant and court attachment arrests; ensure timely deactivation in the warrant file

  • Receive and process daily recalls for timely deactivation of court attachments; enter all
recall information and remove scanned documents
  • Research case histories / minute entries in Clerk of Court’s computer system to verify
attachment status
  • Maintain security and integrity of all warrant information, including confidential warrants
  • Receive and respond to requests for agency warrant information from the public, other

divisions and other agencies / entities

III. Collections:

  • Verify citation and court fines in computer; collect and post payments in the form of cash,
money order, check and credit card; issue receipts to the public for the payment of tickets
and court fines
  • Record amounts received and prepares reports of transactions
  • Use calculator to balance cash on hand to daily reports; make deposits and balance deposits
to various computer program postings
  • Enter all court ordered fines and other sentencing information into computer system
  • Set up felony probation payment schedules
  • Forward receipts to appropriate agencies
  • Speak with the public in person and by phone concerning requests for citation and court fine
information
  • Search and retrieve information from files to prepare documentation for bond refunds and
bond forfeitures
  • Research criminal case histories / minute entries in Clerk of Court’s computer system to
verify citation amount and existence of license suspensions and/or attachments
  • Work in the courtroom during misdemeanor or traffic court to enter into the collections

software system fines imposed by the judge and related information



SUPERVISORY RESPONSIBLITIES - This job has no supervisory responsibilities

QUALIFICATIONS - To perform this job successfully, an individual must be able to perform each essential

EDUCATION and/or EXPERIENCE - College is preferred with a background in criminal justice and/or
accounting. High school diploma or general education degree is required. Individual must be proficient
in Microsoft Word and Excel and possess the ability to multi-task and meet deadlines while working in a
fast paced, often high-pressure environment. Professional public service and good oral communication
skills are required.

LANGUAGE SKILLS - Ability to read, write and comprehend simple instructions, short correspondences
and memos and the ability to draft professional internal and external correspondences. Ability to
effectively present information in one-on-one and small group situations to management and other
employees of the agency. Must be proficient in the English language.

MATHEMATICAL SKILLS - Ability to add, subtract, multiply and divide in all units of measure, using whole
numbers, common fractions and decimals


REASONING ABILITY - Ability to interpret and carry out a variety of instructions furnished in written and
oral form

COMPUTER SKILLS - Microsoft Office, Word, Excel and Outlook; ability to learn and use agency records
management and collections software

CERTIFICATES, LICENSE, REGISTRATIONS - Valid Louisiana Motor Vehicle Operators License, proof of
residency in St. Tammany Parish (voter registration card), birth certificate (minimum age of 18 years),
Social Security Card

In the criminal records and warrants sections, the noise level in the work environment is usually quiet.

The noise level in the collections section work environment is moderate at times, but otherwise is
usually quiet. The workflow is usually hectic and fast-paced when traffic or misdemeanor court is in
session.
