Job Title:            Coordinator of Out-of-School Time and Summer Programs

GENERAL PURPOSE

Reporting to the Director of Student Access and Opportunity, the Coordinator of Out-of-School (OST) Time and Summer Programs is responsible for the planning, organization, implementation and evaluation of high-quality after school and summer school programs that support remedial learning and enrichment. The Coordinator collaborates with Division and School leaders to enhance student learning experiences, tailoring programs to strategic initiatives, student needs, and regulatory standards, while continuously improving program effectiveness. Given the job's focus on out-of-school and summer coordination, it entails occasional weekend and after-school hours.

 

The Coordinator will strive to improve program efficiency and effectiveness and leverage community partners to facilitate improvement of student learning and engagement.

 

MAIN JOB TASKS AND RESPONSIBILITIES

 

Program Leadership

  • Design and implement effective, strategically-aligned OST and summer programming
  • Plan, organize, implement, report on, and evaluate OST and summer programming
  • Establish goals for OST and summer programs based on Stafford Schools’ strategic plan and identify metrics to track progress toward such goals
  • Recruit, train, and monitor staff for OST and summer programs in coordination with the Department of Human Resources, instructional leaders, and school teams
  • Maintain and nurture strong relationships with community partners including those cooperating in OST and summer programs
  • Ensure efficient operations of OST and Summer programs

Program Coordination and Support

  • Collaborate with instructional leaders (including building principals and central office instructional experts) to identify focus areas and populations for OST and summer programs
  • Collaborate with instructional leaders to design and implement OST and summer programs, including coordination of staffing, physical space usage, and external partner roles
  • Establish program dates and locations based on available resources and participant demand
  • Coordinate communications with families, students, and staff to promote OST and summer program participation, policies, and priorities
  • Collaborate with all pertinent departments, including Operations and Maintenance, Technology Services, Finance, Procurement, Academic Programs, and others, to ensure the success of OST and summer programs
  • Collaborate with the Department of Financial Services, Grants Coordinator, the Virginia Department of Education, and Procurement to oversee all aspects of OST and summer program requirements, program budgets, and purchases
  • Provide and coordinate professional learning for OST and summer staff
  • Support the OST programs outside of business hours and on weekends, as necessary

Data Analysis, Reporting, and Grant Management

  • Collect and analyze relevant pre- and post-data from OST and summer program participation to assess progress
  • Provide enrollment, participation, and impact reports to various stakeholder groups on OST and Summer programs
  • Collaborate on the development of grant proposals
  • Monitor and manage grant activities
  • Lead and supervise grant staff
  • Report on grant activities and participation

EDUCATION AND EXPERIENCE

  • Bachelor’s degree from an accredited college or university required; master’s degree in education, out-of-school learning, youth work or related field strongly preferred
  • Valid Virginia Professional Licensed (Collegiate or Postgraduate) or eligibility for the same preferred
  • Experience directly managing and leading staff responsible for large-scale initiatives required
  • Three (3) or more years of experience organizing and leading education programming for school-age children required
  • Experience hiring and managing part-time and seasonal staff preferred

WORKING CONDITIONS and PHYSICAL REQUIREMENTS

  • The work environment is mainly inside an office or school, with moderate noise, controlled temperatures, and limited to no exposure to chemical or other negative air quality elements.
  • The work is moderate work, requiring exertion of up to 20 pounds of force to lift objects or 50 pounds of force to move objects.
