The Kodiak Superior Court is seeking applicants to promote the mission of the Alaska Court System and provide access to justice for members of the community.


The Kodiak Superior Court is accepting applications for a Chambers Judicial Assistant I (salary range 12).  This position will provide administrative support and perform in-courting duties for a Superior Court Judge. Responsibilities will include the following:


JUDICIAL / ADMINISTRATIVE SUPPORT


  • Responsible for the smooth flow of paperwork and files between the judge's chambers and clerk's office; file documents that are routed to chambers;
  • Type and perform judge's edits on correspondence, orders, and documents; generate simple orders for judge to sign regarding various matters;
  • Work files with pending motions and determine readiness and urgency for handling by the judge; schedule hearings on judge's calendar and ensure there are no calendaring conflicts; coordinate with the Clerk of Court regarding scheduling;
  • Receive and screen calls and visitors to chambers; prepare for jury trials;
  • Prepare and submit judicial pay affidavits and travel expense claims;
  • Maintain out of town case files assigned to the judge; provide support to out of town courts in regards to calendaring, forms and orders for the judge's signature;
  • Provide administrative support for visiting judges.

IN-COURT DUTIES

  • Set up the courtroom for each day's calendared hearings; perform microphone checks and distribute daily calendar;
  • Provide necessary documents to the judge, counsel, and parties prior to hearings;
  • Maintain recordings of proceedings; monitor microphones and production of a clear and audible recording for each hearing;
  • Prepare accurate and concise log notes and distribute copies to parties; introduce each session, administer oaths to witnesses, and call jury roll;
  • Assist the Clerk of Court in various assigned duties during the judge's absence or as time permits.

This position is in the court's partially-exempt service; the incumbent serves at-will to the hiring authority.


The list of applicants generated from this recruitment may be used to fill any future vacancies of this job class in the Kodiak Trial Court occurring within 60 days of the closing date.


Full-time court employees are currently scheduled to work 36 hours per week.  The work hours for this position are Monday - Thursday, 8:00 a.m. to 5:00 p.m. and Friday 8:00 a.m. to noon. Occasional extended hours on Friday afternoons may be required.  During the pandemic, work schedules may be subject to change based upon the business needs of the court.

Graduation from high school or completion of a General Education Development (GED) certificate.
 
AND

Two years of progressively responsible, fully qualified work experience as an administrative assistant.
 
AND

The ability to type at least 40 words per minute (net). 


Substitution: 
 
Completion of an appropriate vocational training course of study such as legal secretary, paralegal, or office skills will substitute for one year of the required administrative assistant work experience.
 
A bachelor's degree from an accredited college will substitute for one year of the required administrative assistant work experience. 
 
Twelve months of work experience performing general clerical work that demonstrates work skills equal to those of a Court Case Manager I with the Alaska Court System will substitute for one year of the required administrative assistant work experience.
 
NOTE: Work experience as a legal administrative assistant is preferred. Positions in this job classification are in the partially-exempt service and serve at-will to the appointing authority.

TYPING CERTIFICATION REQUIRED

WORK HISTORY

EDUCATION

SELECTION PROCEDURE
