MINIMUM REQUIREMENTS:
 

A bachelor's degree from an accredited college or university and two (2) years of administrative experience.
 

A master's degree from an accredited college or university can substitute for one (1) year of the required experience.
 

Administrative or clerical experience can substitute on a year-for-year basis for the required college education.
 

An equivalent combination of education and experience which equals six (6) years can substitute for the above requirements.
 

Requires possession of a valid Driver’s License.

JOB DUTIES:
 

Process and schedule travel arrangements as needed in the Statewide Travel Management System (STMS). Assist staff with organizing travel arrangements. Prepare expense vouchers, travel authorizations and reimbursements for domestic and foreign travel. Assist traveling staff with communications and general needs while out of the office.
 

Serve as administrative assistant to the division. Answering and routing main line calls appropriately. Assist division with data entry, manage conference room calendar. Maintain inventory of office supplies and order supplies as needed, sort and distribute mail for the division. Assist division personnel liaison with hiring packages and other personnel documents as needed. Plan internal division activities.
 

Coordinate preparations of purchase requisition and purchase order documents and Summary of Contractual Services (payments) forms.
 

Manage division fleet vehicle calendar and maintenance schedule.
 

Performs related duties as required.
 

KNOWLEDGE, SKILLS AND ABILITIES:
 

  • Knowledge of administrative and office principles and practices.
  • Knowledge and experience with MS Word, Outlook, Excel and PowerPoint.
  • Knowledge of the methods of data collection.
  • Knowledge of the principles and techniques of effective communication.
  • Knowledge of the methods and techniques of compiling, classifying and analyzing data.
  • Ability to collect, evaluate and analyze data relating to administrative functions such as accounting, personnel, purchasing or report writing.
  • Ability to prepare correspondence and administrative reports.
  • Ability to understand and apply applicable rules, regulations, policies and procedures.
  • Ability to utilize problem-solving techniques.
  • Ability to work independently.
  • Ability to plan, organize and coordinate work assignments.
  • Ability to present information in a concise and organized manner.
  • Ability to review and evaluate data.
  • Ability to formulate policies and procedures.
  • Ability to establish and maintain effective working relationships with others.
  • Ability to work in a team environment.
