The Work You Will Do
This position serves as an assistant to the Planning Manager. While serving in this position, you will also be responsible for assisting the Planning Manager with the financial, personnel, and administrative operations of the Building Codes and Standards section.

Your Specific Responsibilities
- Performs all purchasing activities for the unit and maintains a system of monitoring and reporting the related encumbrances via My Florida Market Place (MFMP). Ensures all requests for purchases and invoices are processed using MFMP in a timely manner to include appropriate scanning of all invoices and support documentation. Proofs and approves all PCARD charges for the section. Prepares all travel authorizations, advances, and reimbursements for section.
- Reconciles debit/credit reports to include funds coded to the appropriate account for revenue generated through www.floridabuilding.org . Monitors all payments processed through online website payment system. Acts as contact person for all questions concerning payments processed via www.floridabuilding.org .
- Assists local governments in processing quarterly remittance of Building Code Surcharge Fees. Coordinates and implements the Building Code Information System (BCIS), Building Code Surcharge Fee module.
- Reviews and coordinates implementation of statutes, regulations and policies to ensure compliance with statutory requirements for procurement of goods and services. Reviews fiscal and statistical records, maintains records of all section expenditures, and reconciles financial records to the Florida Accounting Information Resource (FLAIR) at BPR reports. Prepares other financial reports and makes recommendations on budgetary needs for the Planning Manager. Assists the Planning Manager with preparation of Legislative Budget Requests (LBR) and quarterly Long Range Program Planning (LRPP) reports.
- Performs duties as assigned activations of the Emergency Operations Center and other disaster related activities as directed.
- Coordinates and assists with processing personnel actions for the section.
- Ability to use available technology to perform duties including computer software, hardware, and data systems.
- Knowledge of the State of Florida Personnel rules.
- Knowledge of the State of Florida travel and purchasing procedures.
- Ability to analyze information and develop reports and spreadsheets.
- Knowledge of board functions and licensure procedures.
- Ability to communicate effectively through verbal and written communication.
- Ability to plan, organize and coordinate work assignments.
- Must have a high school diploma and two (2) years of work experience:
- Working knowledge of Microsoft Office Suite
- Experience with purchasing and M y Florida Market Place
- Experience with preparing travel authorizations and travel reimbursements.
- Two or more years using Microsoft Office Suite
