Specific Responsibilities:

This is an Office Automation Specialist II position in the Information Technology Office at 800 Clematis Street and reports directly to the Data Center Director - SES. This position provides technical assistance to computer users, answers questions or resolves computer issues as it relates to client records and cell phones. This position requires independent judgment, initiative, applying general knowledge of business practices and skill in applying instructions to accomplish various job functions.

 

This position is designated as a sensitive position and is required to maintain confidential information in accordance with the Florida Department of Health (FDOH) Palm Beach County Health Department (CHD) Information Security Policy, Protocols and Procedures. This position will review, add and update informationConfidential Information Data Sets:  Clinical Data –for the purpose of running reports, troubleshooting, resolution of duplicate records. Position has access to User Network Settings, Health Management System (HMS) Administration and other system access for Help Desk Duties and Troubleshooting of reported issues.

 

Provide assistance and perform corrective action-based Deduplication report. Work closely with the Medical Record staff to assure the appropriate medical record/chart is merged or purge correctly in the HMS system.

Provide assistance to the HMS System Administrator and serve as backup to assigned critical functions

 

Review weekly reports from the HMS system to monitor delinquent EARS or DARS. Contact supervisors notifying them of delinquent EARS or DARS.

Develop and present monthly reports of individual indicators (monthly CDP meeting).

 

Provide primary support for Cell Phones including but not limited to, research available upgrades to phones. Work with purchasing to acquire phones. Follow the documented deployment of phones. Eliminate potential information breach by effectively cleanse and dispose of returned phones. Make adjustments to Cell phone billing and tracking system.

 

Works Help Desk during scheduled periods and provides assistance during peak or staff shortages.

 

Perform other duties as assigned.

 

Knowledge, skills and abilities, including utilization of equipment, required for the position:

  • Knowledge of office procedures.
  • Knowledge of data processing equipment, operations, procedures and workflow.
  • Knowledge of basic terminology and procedures in the areas of data processing and computer programming.
  • Skill in operating a variety of data processing equipment.
  • Ability to interpret and respond to computer error messages.
  • Ability to detect data processing equipment malfunctions.
  • Ability to work in a training capacity with people in individual and group settings.
  • Ability to plan, organize and coordinate work.
  • Ability to communicate technical data processing information effectively.
  • Ability to establish and maintain effective working relationships with others.
  • Ability to install, troubleshoot and maintain office automation equipment.
  • Proficiently use Microsoft Mail, Word, Excel and Outlook Mail, etc.  Experience using computers running Microsoft Windows Operating System.
  • Knowledge of Phone systems.

  • Valid Driver’s License.
