Position Overview
The Illinois River Correctional Center is seeking a detailed Office Associate to serve as a secretary to the Clinical Services Supervisor. The ideal candidate will type a variety of letters and documents, organize and maintain the filing of office records and documents, and serve as receptionist for the clinical services department. In addition, this individual will serve as a backup to the Visitor Coordinator and ensure coverage of clerical duties during absences. We encourage all qualified applicants to apply.
Job Responsibilities
- Serves as secretary to Clinical Services Supervisor.
- Types letters and documents containing legal and medical documents for content and clarity.
- Organizes and maintains the filing of office records and documents.
- Serves as receptionist for the Clinical Services Department.
- Serves as a backup to the Visitor Coordinator.
- Serves as lead worker to ensure coverage of clerical duties during absences.
- Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.
Minimum Qualifications
- Requires knowledge, skill, and mental development equivalent to completion of high school.
- Requires two (2) years office experience.
- Requires ability to keyboard accurately at 45 wpm.
Preferred Qualifications
- Prefers at least two (2) years of experience working with confidential material.
- Prefers at least two (2) years of experience working with and creating Excel (or similar) databases.
- Prefers at least two (2) years of experience composing correspondence independently on behalf of another person.
- Prefers at least two (2) years of experience operating common office equipment such as multi line phone systems, copiers, fax machines, and scanners.
- Prefers at least one (1) year of experience troubleshooting common office equipment listed above.
- Prefers at least one (1) year of experience using Microsoft (or similar) programs for word processing and email.
- Prefers at least one (1) year of experience talking to the public about rules/guidelines followed by employer in order to get to an appropriate end result.
- Prefers at least one (1) year of experience reading, interpreting, and applying rules and/or guidelines of an organization.
- Prefers at least one (1) year of experience scheduling and maintaining phone, meeting, time off schedules for multiple staff and individuals in custody.
- Prefers proven ability to remain professional in a Corrections environment.
Conditions of Employment
- Requires ability to pass the IDOC/IDJJ background check.
