The Department of Human Services, Office of the Secretariat is looking for a motivated and detailed oriented individual to fulfil the duties for the front desk Secretary. This position works 40 hours per week and provides a variety of support functions such as composing and finalizing correspondence; opening and routing mail; establishing and maintaining filing systems; creating and maintaining databases; gathering and providing information; scans, copies, and files information into designated systems/spreadsheets and ordering of equipment and supplies. Good customer service skills are needed. This position includes answering the main phone line for the department and directing calls. Also greeting the public.

The Ideal Candidate Will Have:

Knowledge of:

  • Business English including grammar;
  • spelling and punctuation;
  • modern office equipment, practices, and procedures;
  • Microsoft Office programs including Word, Excel, Power Point, and Access;
  • basic bookkeeping; and
  • department rules, procedures, and functions.

Skill to:

Proofread materials to correct spelling, grammar, and punctuation.

Ability to:

  • answer the phone and communicate effectively with the public and other state government agencies;
  • manage a variety of task simultaneously;
  • operate a variety of office equipment;
  • organize and coordinate meetings, conference calls, and other activities;
  • type accurately;
  • communicate information clearly and professionally over the phone, email, and face-to-face;
  • read and comprehend materials;
  • establish and maintain effective working relationships with other employees and the general public;
  • proof and edit solutions to arithmetic problems involving addition, subtraction, multiplication, division, and percentages;
  • accomplish assigned professional tasks;
  • formulate logical and reasonable conclusions from available information;
  • exercise tact, patience, and discretion in communicating and dealing with persons of varying backgrounds and temperament;
  • exercise delegated authority to take action, and to recognize when it is appropriate to seek assistance from others when limits of delegated authority have been reached.

This position is eligible for Veterans’ Preference per ARSD 55:10:02:08.
