The TDMHSAS Division of Mental Health Services (DMHS) administers and supports a diverse array of services and supports for individuals of all ages living with mental illness, co-occurring disorders, or serious emotional disturbances. DMHS is responsible for community-based programs and community support services including housing, crisis services, suicide prevention, and peer-to-peer recovery services. How you make a difference in this role:
The Administrative Services Assistant 3 serves as the DMHS office manager & clerical support for the Division of Mental Health Services supporting the DMHS team, particularly the Assistant Commissioner of Mental Health Services.
Key Responsibilities:
- Provides a full range of support and assistance to the Assistant Commissioner
- Works closely and effectively with the DMHS Deputy Assistant Commissioner & Directors to keep team well informed of upcoming commitments and responsibilities
- Manages correspondence, appointments, state-related reservations and travel arrangements of the Assistant Commissioner & DMHS team
- Drafts memos, e-mails, letters, reports, etc. as requested
- Arranges meetings with both internal and external individuals and, as needed, prepares for meetings by ordering lunch, booking conference rooms, setting up projector or video conferencing, etc.
- Attends meetings and keeps accurate minutes, as requested
- Assists with the preparation of presentations, including text, graphics, and making any copies, binders, etc. as needed
- Manages digital files
- Handles administrative tasks related to onboarding and offboarding of employees
- Orders supplies and equipment as needed by the office
- Handles tasks in Edison and Service Now as requested by the Assistant Commissioner
- Works as a member of the DMHS team, willingly providing support for co-workers when appropriate and actively supporting group goals
- Meets all deadlines
Minimum Qualifications:
- Bachelor’s degree
- Previous experience in a similar administrative position
- Strong MS Office (Word, Excel, Power Point, and MS Outlook) skills
- Extremely detail-oriented
- Proven ability to effectively prioritize workflow
- Excellent interpersonal, written, and oral communication skills
- Absolute integrity of any confidential information
- Strong situational analysis, decision-making abilities, and organizational skills
- Ability to think strategically, problem-solve, juggle multiple priorities, and remain attentive to details
- Ownership of results, with a standard for excellence
