The Department of Corrections is seeking a highly motivated and qualified individual for a full-time, non-permanent Administrative Assistant 3 for the Washington Corrections Center (WCC) located in Shelton, WA. This is a full-time day shift position with Sat/Sun off.
 
This position provides support to the Health Service Manager (HSM) and the Health Services Department while performing varied administrative and secretarial support duties at the Washington Corrections Center. Work performed includes administrative responsibilities, i.e., typing, filing, shredding, data entry, copying, inventory, managing confidential information, and supply ordering.

It is to the applicant's advantage to apply as early as possible.The Administrative Assistant 3 provides direct support to the Health Services Manager and the Health Services Department as needed. Job duties include but are not limited to:
  • Provide secretarial support to supervisor; coordinate office operations; keep supervisor's calendar; make travel arrangements; screen and prioritize, and distribute mail, transcribe/take minutes, screen calls and visitors;
  • Review forms sent to HSM for completeness and prepare executive level documentation for Health Services Management signature.
  • Schedule meetings and conference calls, draft correspondence letters, meeting agendas and reports related to the Health Services Department.
  • Log/track grievances for Health Services Management as needed.
  • Manage patient survey log.
  • Process recruitment documentation and ensure workflow process is completed promptly.
  • Enter requisitions into NEOGOV.
  • Prepare and support HS Security Briefing.
  • Complete AARs for signature.
  • Complete visitor processing, NCIC
Required Qualifications:
  • High school diploma or equivalent
  • Knowledge of: office procedures and practices; business management practices, research methods and data collections; communication and correspondence practices.
  • Ability to: work independently; read, understand, and interpret policies and procedures; develop written reports; work effectively with others; communicate effectively, both in writing and speech.
  • Three years of progressively responsible experience in office/clerical, secretarial, bookkeeping, accounting or general administrative work.
  • Formal education will substitute year for year for the experience.
Preferred Qualifications:
  • Three years of progressively responsible experience in office/clerical, secretarial, bookkeeping, accounting or general administrative work.

  • If this position is included in a Union Shop, employees will be required to become members within thirty (30) days of employment.
  • Requires respirator medical evaluation questionnaire, fit testing, training, and use of respiratory protection as required by the WA Industrial Safety & Act standards. Refer to WAC 296-842 to learn more.
  • Salary is based on experience and is determined at the time a final offer of employment is made. The salary range listed in the job posting includes Steps A-M. Step M is a longevity step and is typically gained six years after being assigned to Step L in your permanent salary range.  
  • The position requires the ability to work in small spaces or in lockdown, climb stairs, walk long distances, lift, carry, or move loads of equipment weighing up to 30 pounds.
