The WSIB operates in a hybrid work environment and this position should anticipate 60% of their time would be in the office.
The WSIB is seeking a qualified candidate to join our team as a non-permanent Administrative Assistant 4 (AA4), serving as the assistant to the Human Resources Director and supporting daily unit operations. This position supports the human resources unit in carrying out its mission of providing high quality human resources (HR) products, services, and support in service to the WSIB’s mission to invest with integrity, prudence, and skill to meet or exceed financial objectives.

You will bring your creativity and energy to the many internal initiatives underway to modernize the HR function and expand the quality and outcomes of HR service delivery, both technically and culturally. You will assist the overall office, other division leaders, supervisors and staff members with administrative support, scheduling meetings, arranging travel and providing high quality clerical support. In this role you will review, screen, prioritize and distribute the HR unit's incoming mail. Review and identify critical correspondence for action, approval, and signature. When needed, you will remind assigned staff to respond. Track and follow up on special projects. Keep the HR director informed of significant and important items requiring review or action. You'll be responsible for drafting, editing, formatting and proofreading correspondence, documents, agendas, evaluations and reports.
More of what you'll do in this role:
- Provide administrative support to the director of HR.
- Serve as the purchasing coordinator the HR unit.
- Serve as system administrator for the agency’s learning management system and Commute Trip Reduction (CTR) program.
- Serve as the designated records coordinator for the unit.
- Support HR project management by coordinating meetings, creating agendas, taking notes, and other duties associated with the success of HR agency-wide projects.
- Proofread, edit, and coordinate internal and external HR communications.
- Collaborate other units to support employee onboarding, orientation, and offboarding.

MINIMUM QUALIFICATIONS:
High school diploma or equivalent and 4 years of progressively responsible experience in office/clerical or general administrative work.
DESIRED QUALIFICATIONS:
Experience composing business communications, coordinating operations, establishing procedures, and data entry.
Knowledge of Civil Service Rules and State and federal employment laws.
Working knowledge of HR-related systems including HRMS, NEOGov, and TLC.
