The Behavioral Health Administration (BHA) is seeking a Secretary Senior to join their team in the Health Information Management Services located at the Western State Hospital (WSH) in Lakewood, WA. In this role, you will provide clerical and management support. Come join us today on our mission to Transform Lives!
 
Pierce County employees are eligible to receive an Orca Card for transportation needs. Opportunities performed on-site at this work location at least three days a week may be eligible for an additional 5% premium pay in addition to the advertised salary.
 
Some of what you'll do:
  • Create and revise record-keeping systems and database files
  • Prepare and process medical documents
  • Draft correspondence, reports, and schedules
  • Compile agendas for meetings and transcribe minutes
  • Work with multiple disciplines to research various requests and concerns
  • Provide customer service to hospital staff
  • Answering phone calls and directing calls to appropriate staff member
  • Responding to emails and requests from department staff
  • Provide administrative support to department leadership
  • Check incoming mail and forward to appropriate staff 
What we're looking for:
  • Professional experience with Microsoft Office programs for word processing, spreadsheets, and e-mail
  • Ability to use multiple resources to resolve problems and respond to inquiries
  • Excellent written and verbal communication skills
  • Experience with copying, faxing, operation of multi-line telephones and other common office equipment
  • Maintaining professionalism while handling a wide variety of changing tasks throughout the workday
  • Ability to compose, draft, and proofread documents and correspondence
  • Willingness to learn new things and to be flexible
  • Ability to maintain and coordinate scheduling for calendars and appointments for department leadership.
  • Experience with hiring processes, including conducting reference checks, background checks, and setting up interviews.
  • Monitor equipment and supply purchases.
  • Excellent time management skills and the ability to work independently in a fast-paced environment.
  • Use independent, professional judgement regarding sensitive and confidential matters and records.  
Who should apply?
Professionals with a High School diploma or equivalent and two years of increasingly responsible office/clerical experience which included keyboarding or typing.
