GENERAL DESCRIPTION:  


Under general supervision, assist with claims intake, management of State online training system, reconciliation of various reports, assistance with various fiscal duties, creation of "letters of coverage" for agencies, assist with the monthly crash review preparation, data entry, and organization for various reports and claims, archiving and general administrative duties.

ESSENTIAL FUNCTIONS:  The listed functions are illustrative only and are not intended to describe every function which may be performed in the job level.

 
  • Reviewing submitted claims for accuracy, opening, and initiating the claims process for proper claims. 
  • Corresponding with claimants who filed improper claims, sending letters to claimants to let them know if the status of their claim.
  • Claims cleanup of long term claims, and assist with preparing documents for the monthly Governor's Crash Review Committee.
  • Reconcile the monthly Revenue & Expense Reports with transactions in the claims system.
  • Process claims further according to the statuses of the various transactions from the R&E reports.
  • Assist with running various reports for data from the claims system as needed, assist with the State Annual Report and the newly created Agency Annual Reports, and assist with simple invoices for State claims.
  • Greeting customers; forwarding calls; taking messages; referring clients to appropriate parties.
  • Respond to requests from agencies for letters of coverage.
  • Responding to requests or questions regarding routine program operations.
  • Disseminating information and providing assistance to staff, agencies, and the general public.
  • Add/edit agency contacts on the platform, assist with login and course scheduling issues employees may experience, assist agency contacts with platform usage.
  • Responsible for reviewing closed claims, expired contracts, and claims documents for archive preparation.
  • Log detailed information into RIMS System; create labels and box documents; coordinate record move with Archives; responsible for record retrieval from Archives when request.
  • Create and send quarterly newsletters to agencies with various Risk information pieces pertinent to creating a proactive Risk culture statewide.

 
KNOWLEDGE:

 
  • Knowledge of office procedures, filing, alphabetizing, English language, and arithmetic.
  • Knowledge of modern office practices, procedures, and equipment.
  • Knowledge of word processing, spreadsheet, and email programs.
  • Knowledge of assembling, sorting, and distributing documents.
  • Knowledge of reviewing and editing documents for accuracy and completeness.
  • Knowledge of methods used to tactfully deal with the public.
  • Knowledge of telephone etiquette and coordinating telephone and visitor traffic.
  • Knowledge of preparation of records, reports, and correspondence.
  • Knowledge of agency policies and procedures.


MINIMUM QUALIFICATIONS:

 
Education:
High School Diploma
 
Experience:
0-2 years of progressive work experience (typically in Business Office Communications)
 
OR
 
Education & Experience Substitution:
1-3 years of progressive work experience (typically in Business Office Communications)
 
Certificates, Licenses, Registrations:
None

 
PHYSICAL WORKING CONDITIONS:

 
  • Typically, the employee may sit comfortably to perform the work; however, there may be some walking, standing, bending, carrying light items, driving an automobile, etc.
  • Special physical demands are not required to perform the work.
