GENERAL DESCRIPTION:
Healthcare Licensing and Surveys (HLS) serves as the regulatory agency for licensure of healthcare facilities to operate within Wyoming. HLS is committed to protecting the health, safety, and welfare of patients (residents) of licensed and/or Medicare and Medicaid providers.
You will serve as the Acute and Continuing Care (ACC) Certification Specialist within the Business Office Branch, Healthcare Licensing and Surveys, Aging Division, Wyoming Department of Health; performing critical licensure and certification duties in accordance with Wyoming State Statutes and agreement with the federal Centers for Medicare and Medicaid Services (CMS).
This position will perform clerical duties such as data entry onto various forms, filing, copying, answering the phone, and taking messages.

ESSENTIAL FUNCTIONS: The listed functions are illustrative only and are not intended to describe every function which may be performed at the job level.
- Maintains federal certification and state licensure records for healthcare surveys (primarily ACC).
- Monitors and tracks regulatory mandated timelines for healthcare surveys and records.
- Retrieves, copies, transmits, or distributes records as required for investigational or other purposes according to federal and/or state guidelines.
- Enters data into a national database (ACO/ACTS) for federal government tracking and monitoring healthcare providers’ performance and regulatory compliance.
- Acts as a specialist in the assigned program areas, performing the most complex technical duties.
- Responds verbally and/or in writing to requests for information.
- Screens and corrects documents for procedural compliance.
- Provides customer service to customers, clients, and staff, acts as a resource, and explains rules and procedures to co-workers, customers, and/or clients.
- Refers customers to appropriate supportive service agencies.
- Maintains and reviews case files to determine actions to be taken.
- Evaluate information for accuracy.
PREFERENCES:
Preference will be given to applicants with two or more years of receptionist and administrative support experience.
Preference will be given to applicants with experience using Microsoft Office and Google Suite products.
Preference will be given to applicants with experience operating a multi-line telephone system.
Preference will be given to applicants with data entry experience.
KNOWLEDGE:
- Knowledge of applicable federal, state, and local laws, codes, regulations and policies, technical processes, and procedures related to the department.
- Knowledge of the principles and procedures of financial record keeping and reporting, basic accounts payable, and purchasing.
- Knowledge of techniques for providing a high level of customer service.
- Skill with accurate data entry.
- Ability to monitor and track multiple deadlines.
MINIMUM QUALIFICATIONS:
Education:
Associate's Degree (typically in Business)
Experience:
0-1 year of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Assistant II
OR
Education & Experience Substitution:
2-4 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Assistant II

PHYSICAL WORKING CONDITIONS:
- Typically, the employee may sit comfortably to perform the work; however, there may be some walking, standing, bending, carrying light items, driving an automobile, etc.
