Essential Functions

Note: The essential duties and primary accountabilities below are intended to describe the general content of and requirements of this position and are not intended to be an exhaustive statement of duties. Incumbents may perform all or most of the primary accountabilities listed below. Specific tasks, responsibilities or competencies may be documented in the incumbent’s performance objectives as outlined by the incumbent’s immediate supervisor or manager.

1. May support inventory management by conducting regular counts of specific equipment pieces related to orders and returns to decrease occurrence for discrepancies and lost equipment and increase billing accuracy.
2. May receives a daily site schedule and reviews mapping of routes. May make modifications to routes to ensure that time restraints are met and assigns orders to scheduled DME Technicians.
3. May receives a route and required supply list and prepares the truck for delivery by pulling stock (e.g., wheelchairs, hospital beds, bathroom aids, medical supplies, etc.), staging equipment for delivery based on the order of the route, and loading equipment on the truck following safety standards and standard operating procedures to load and secure equipment.
4. On a regular basis and when on-call, participates with or leads a daily assessment and verification (Pre-Trip Inspection) of the truck, equipment and supplies and confirms basic safety operations (e.g., lights, brakes, mileage, vehicle appearance, etc.). Addresses and/or reports any damage and malfunctioning equipment immediately to manager.
5. On a regular basis and when on-call, follows the daily route to accomplish timely delivery of requested hospice equipment. This may include calling ahead to notify patients or care-givers of estimated delivery times. Unloads, troubleshoots and sets up authorized equipment to the point it is fully functional and meets customer expectations. In a courteous and respectful manner, reviews basic equipment operation and instructs patients and/or caregivers on the proper use and care of equipment. Confirms delivery and set up via a customer signature.
6. On a regular basis and when on-call, performs safety assessments of patient environments following the standard safety checklist. Confirms the condition of the environment via the patients’ or caregivers’ signature and submits the paperwork as appropriate to remain in compliance with the Department of Health.
7. On a regular basis and when on-call, follows the daily route to accomplish timely pick up and/or exchange of hospice equipment. Breaks down; loads and segregates returning and outgoing equipment and supplies into the truck following established safety procedures. This includes but is not limited to identifying hazmat symbols, wearing protective safety gear and red-bagging and handling contaminated equipment in a safe manner. Confirms pick up via a customer signature.
8. Support site leadership with the on-boarding and orientation of new employees and on-going training of existing employees by educating, training and coaching on the proper handling of all equipment pieces. May participate in the assessment of technician performance evaluations and assessments.
9. Maintains continuous communication with the customer service team to relay a change in an order status or non-compliance with prescribed orders, position in routes, stock availability and confirm delivery and pick up of equipment. This includes but is not limited to communicating check-in/out of equipment, re-routing, add-ons, responding to emergencies, availability of rolling stock, and location information. Additionally, escalates issues or potential issues to the customer service team as appropriate.
10. On a daily basis, completes and may lead other drivers in completing and maintaining the driver log, the vehicle check out, the vehicle inspection and the oxygen manifest to ensure compliance with the Department of Transportation.
11. Upon completion of routes, unloads returned equipment following safety and handling procedures. Checks in and confirms equipment with warehouse personnel for proper sanitization and cleaning. Submits completed driver paperwork and logs as required. Stocks delivery trucks with rolling stock to ensure “ready” condition for the next delivery.
12. Follows the safety program and adheres to Occupational Safety and Health Administration (OSHA) guidelines to reduce work-related injuries.

Marginal or Additional Functions

1. Following standard operating procedures and safety procedures, assists with warehouse functions to include cleaning and sanitizing equipment, following standard operating procedures for safe handling and decontamination.
2. On occasion, assists the warehouse by receiving and confirming new equipment following standard operating procedures.
3. Participates in on-going staff meetings, training activities and continuing education to maintain relevant understanding and knowledge of equipment, new procedures and processes.
4. Acts as the emergency on-call back up for those times when a DME Technician is unavailable
5. Performs other duties as assigned or apparent.

Supervisory and Managerial Responsibility

  • This job does not entail direct supervisory responsibility but acts as a resource to others to direct and educate as described. In the absence of site leadership acts as a key point of contact.

Knowledge, Skills & Abilities

Education, Licensure or Certification:
  • A high school diploma or equivalent is required
  • All must have a current state issued driver’s license, must be active and valid the last three consecutive years
  • A confirmed driving motor vehicle record (MVR) successfully demonstrating no major violations in the past three consecutive years, no more than one preventable accident with one moving
  • violation in past three years, no more than two minor violations with no at-fault accidents in the past three years.
  • Technicians between the ages of 21 and 25 must have a clean motor vehicle record (no accidents and no tickets received).
Work Experience or Related Experience:
  • At least six months experience in which incumbents regularly interface with customers is essential to perform customer services functions as described
  • Experience in which the incumbent has provided direction or guidance to others is strongly preferred
  • Experience in the healthcare or medical fields in which incumbents have worked with durable medical equipment is required
  • At least one year of previous experience that is directly related to delivery and warehouse operations is required
Specialized Knowledge, Skills & Abilities:
  • Strong interpersonal skills and customer service skills are necessary as is the ability to remain customer service oriented during situations in which patients or caregivers may be frustrated or upset
  • The knowledge and ability to operate smart devices (e.g., smart phone, tablets), computers and hand held scanning devices are required
  • A good knowledge and familiarity with mapping systems to be able to coordinate routes as described
  • The ability to lead and direct others to accomplish an end goal is required
  • The ability to prioritize tasks and functions and work with little direction is required to provide lead support as described
  • The ability to read, write and follow written and oral instructions is required to ensure accurate completion of DME deliveries, exchanges and pick-ups
  • The ability to protect and maintain the confidentiality of patient protected health information and follow standard operating procedures to ensure compliance with HQAA and HIPAA is required
  • The ability to operate a 14-16 foot box truck in a safe manner is essential
  • The ability to follow a city map and navigate a new daily route is required
  • Good organization and prioritization skills are required to plan and stage equipment as described
  • A safety orientation is required to perform work (e.g., driving, delivery, set up, loading and stocking of durable medical equipment as described) and follow safety operating procedures
  • Spanish speaking skills are desirable but not required
  • The ability to maintain a flexible schedule to accommodate unplanned events and participate in an on-call rotation is essential

  • Ability to utilize basic tools e.g., wrench, screwdrivers etc. to set up durable medical equipment
  • Smart devices (e.g., smart phone, tablets), computers and hand held scanning devices

  • Heavy daily local travel is required to perform delivery and pick up of equipment as described

Work Environment, Conditions and Demands

  • Stocking and unloading work is performed in warehouse environment but largely, work requires the operation of a motorized vehicle to deliver and pick up equipment as described
  • On a very frequent basis (75%-100% of the day), technicians are exposed to weather as a daily condition of the role, both in the field and in the warehouse
  • On a very frequent basis (75%-100% of the day), technicians are required to handle and transport compressed oxygen
  • Technicians may be periodically exposed to odors and dust from used equipment (about 50%-75% of the time), particularly when cleaning dirty equipment
  • Technicians may periodically experience occupational exposure to bodily fluids, feces and blood (approximately 50%-75% of the time) when servicing, picking up and/or handling dirty durable medical equipment
  • Technicians may seldom experience occupational exposure to other potentially infectious materials (approximately 0%-25% of the time) when delivering, servicing, picking up and/or handling durable medical equipment
  • Environmental conditions will vary based on the location of a delivery or pick-up, including but not limited to patients’ private homes, hospitals, adult care homes, assisted living facilities and other healthcare facilities. Periodically, (approximately 50%-75% of the time) patient locations will be at private homes, adult care homes and assisted living facilities. Generally, hospital deliveries and/or pick-ups make up approximately 10%-20% of the time

Physical Requirements and Demands

  • The ability to maintain a flexible schedule to accommodate unplanned events and participate in an on-call rotation is essential
  • This role entails prolonged sitting (approximately 50%-75% of the day) while driving a vehicle as described. The ability to climb in and out of a truck is also required
  • Incumbents must have the ability to lift, carry, push and pull durable medical equipment that weighs up to 80 lbs. intermittently but consistently throughout the majority of their day (50%-75% of the day)
  • With assistance, incumbents must have the ability to lift, carry, push, pull and handle awkward sized/shaped durable medical equipment that weights between 90 lbs. and 120 lbs. Generally, this may occur 2-5 times per week
  • Incumbents must have the ability to lift, maneuver and assemble and disassemble large and awkward durable medical equipment (e.g., beds) that weight up to 80 lbs. intermittently but consistently throughout the day
  • For those sites that dispense liquid oxygen, incumbents are required to lift, pull, push, carry and maneuver containers weighing up to 100 lbs. Generally, this may be expected about 2-5 times per week
  • Regular and continuous eye-hand coordination and manual dexterity is required to set up durable medical equipment
  • Periodically, (approximately 50%-75% of the day) standing, walking, bending, twisting, grasping, squeezing, kneeling, stooping, crouching, crawling, reaching, reaching above the shoulder is required while transporting, setting up, taking apart and moving medical equipment as described
  • Occasionally, climbing of stairs is required to transport durable medical equipment to or from a particular room, location, or vehicle
