Job Summary:
We are seeking an Office Manager for our beautiful Arvada, CO location to join our family. The Office Manager / Administrator is accountable for monitoring and assisting with the administrative functions of the day to day operations in the office. This includes accountability for client/doctor satisfaction, employee experience, a superior patient experience, employee and personal development, and financial results. You have a passion for outstanding communication that can help to ensure a delightful experience for all patients and employees within our practice, and strong attention to detail and self-starting positive attitude.
Supervisory & LEADERSHIP Responsibilities:
- Ensure the office is maintained and running efficiently providing a quality patient experience and the highest standard of dental care at all times
- Champion behaviors to drive superior levels of patient service and employee satisfaction while striving to continuously improve results through data-driven analysis
- Run weekly meetings with the team as well as 1-on-1 meetings with the front office, assistants, hygienists, and doctors
- Become an expert in Station Dental processes & procedures and maintain a continued training philosophy within the practice
- Attend and ensure daily huddle is efficient and follows Station Dental procedure
- Ensure any clinical approvals, forms and/or documentation is properly documented, including medical clearances, consent forms, and HIPAA acknowledgments
- Monitor and manage time and attendance for all employees
- Ensure end of day closeout procedures are properly completed and take bank deposits twice weekly
- Oversee patient finance administration and collections
- Maintain and manage the relationship with, and serve as the point of contact for all external vendors and property management company
- Organize, prepare for, and participate in various inspections (Stericycle, Fire Dept, OSHA, etc.)
ADDITIONAL DUTIES AND RESPONSIBILITIES:
The Office Manager is expected to be the subject matter expert in the office for anything billing and/or insurance-related. These additional duties fall within the parameters of a Treatment Coordinator, working side by side with our front office receptionist, and include but are not limited to the following:
- Educates the patient about their treatment plan, after the dentist has diagnosed and reviewed the treatment plan with a patient.
- Assists patients with dental insurance, and determines benefits and estimates patient co-pays
- Ensure treatment plans reflect accurate patient co-pay amounts and are properly prioritized

Pay: $50,000.00 - $60,000.00 per year
