We are hiring for an HR Coordinator!

Will be responsible for providing clerical and administrative support to Human Resources such as Employee Relations, Staffing, Benefits and Compensation. This includes data entry, preparation of memorandums and presentations using a variety of software packages, orientation to employees, coordination of company activities and interviews, communication with benefit providers, and works with special projects.

Primary Responsibilities:
  • Provides administrative support to H.R. Manager in generating reports, letters, memorandums, and others.
  • Prepares and sends Third Party Sick Pay Report quarterly and generates annual report.
  • Sends documentation to employees on FMLA and/or disability. Updates Chauffeur's Insurance quarterly and forwards to Finance.
  • Generates absenteeism and overtime reports and forwards to management.
  • Provides support in gathering benefits related data requested by auditors.
  • Coordinates monthly Birthday/Anniversary Meeting and orders food. Maintains bulletin boards with updated information.
  • Scan and forward to myHR documents related to: benefits, newhire, terminations, payroll and other documents to be archived in employee electronic files.
  • Maintains general, H.R., payroll, and benefit files with related information.
  • Maintains ESC organized and with the necessary reference documents for employees.
  • Reconciles benefit invoices and process payments monthly.
  • Request Worker's Compensation/Liability Insurance/Waiver from Hacienda/Certificate of Exempt Sales as required.
  • Coordinates selection process for Employee Symbol, communication, and recognitions.
  • Maintain adequate supply of office supplies and order as needed.
  • Process invoices and forward to Accounts Payable to process. Generate year end finance report of outstanding invoices.
  • Requests maintenance notifications for action items identified in the Housekeeping and/or EHS audit.
  • Prepares employment verification letters.
  • Inspect Fitness Center and order missing supplies or equipment.
  • Send condolence email and order flower arrangements.
  • Translate documents from English to Spanish and vice versa.
  • Process correspondence and distribute incoming mail.
  • Assign lockers to new employees and coordinate with maintenance any repairs needed.
  • Provide support in the coordination of employee activities as needed.
  • Responsible for the implementation of and compliance with corporate program standards for loss prevention, safety and industrial hygiene in the areas under the position's control.
  • Provide support with special projects.



Work environment (extent of interaction with Supervisor(s) for approval, concurrence, resolution, etc.):
  • Available to work extended workdays.
  • Handle multiple tasks and priorities.
  • Exposure to confidential and sensitive information requiring considerable use of discretion.
  • Consult supervisor any doubts related to an assignment or company policy.
  • Refer to supervisor any employee relations issues for resolution.
  • Establishes work priorities based on its relevance and supervisor's expectations.
  • Interact with employees on a daily basis on benefits or human resources related services.
  • Interact with auditors on an annual basis, personally or phone, to provide audit information requested.
  • Interact with Managers and Supervisors or designees by phone, on weekly basis, in relation to status of any pending payments, data, among others.
  • Contact suppliers to place orders or coordinate activities. Job applicants to coordinate interviews.

The IDEAL candidate must have:
  • Bachelor's Degree in Business, HR, preferred
  • Minimum 2 years of work experience within Human Resources or Recruiting
  • Looking for someone with great PPT and Microsoft Office - must know how to develop and put pictures in a slide deck- be creative
  • Experience working with an Recruitment Applicant Tracking system
  • Ability to handle confidential information with integrity and professionalism
  • Advanced experience with MS Word, Excel, PowerPoint and Outlook
  • Previous experience with travel planning and coordination preferred
  • Experience working with individuals in multiple time zones preferred
  • Clear, effective interpersonal and communication skills
  • Approachable, adaptable, and self-motivated
  • Detail-oriented, efficient, and able to multi-task
  • Strong time management and organizational skill
