We are looking for someone ideally with a history in an auto-related industry (but not required) who can THRIVE in a fast paced environment. We need customer-oriented, with a "let's get it done" attitude as they will have receptionist duties with our vendors and insurance adjusters, as well as customer-facing roles. They will anticipate and resolve any emerging problems that our customers might face with accuracy and efficiency. The best candidates are genuinely excited to help customers. They’re patient, empathetic, and passionately communicative. They love to talk. Our ideal receptionist can put themselves in their customers’ shoes and advocate for them when necessary. Customer feedback is priceless, and this individual can gather that for us and ensure the feedback is good. Problem-solving needs to come naturally, and you must be confident at troubleshooting and investigate if you don’t have enough information to resolve customer situations. The target is to ensure excellent service standards, respond efficiently to customer inquiries and maintain high customer satisfaction.
Responsibilities
- Customer facing decorum
- Be a part of team who manages the front desk, providing receipts to customers, communicating an amount due, and collecting it upon pickup of vehicle.
- Order office supplies or other shop needs as necessary
- Assist the accountant by compiling receipt packets and warranties for customers
- Coordinate getting cars to our lot from an overflow lot for an adjuster, customer, or for a tow truck
- Meet customers who walk in the shop or check in new customer vehicles for repair service
- Accept and sign paperwork with new customers dropping off their cars
- Field sales leads as they come in and distribute them to sales staff or estimators accordingly
- Build sustainable relationships and trust with customers through open and interactive communication
- Provide accurate, valid and complete information by using the right methods/tools and input this into our tracking system so internal operations flow smoothly
- Keep records of customer interactions in our CRM, ensure customer accounts are being processed, and file documents.
- Minimum typing speed - 80 wpm.
- Sales Team support, such as contacting insurance companies to make rental car reservations
- Follow communication procedures, guidelines and policies
- Take the extra mile to engage customers
- Get rides for customers on Lyft to or from a rental car location
- Set up new customers in our tracking system when new customers come in
- Supplies ordering, tracking, inventory
- Assist management, estimators, and Sales Team with various clerical and shop duties as needed
- Flexible to fill in during vacation times
Skills
- Auto-related industry experience is preferred
- 80 wpm or more typing skills
- Proven customer support experience and history in a front desk role with high volume
- Ability to efficiently use Google Sheets, Google Calendars, and Gmail
- Track record of success in previous similar roles
- Strong phone contact handling skills and active listening
- Familiarity with CRM systems and practices
- Customer orientation and ability to adapt/respond to different types of characters
- Excellent communication and presentation skills. Professional appearance is a must
- Team Player
- Ability to multi-task, prioritize, and manage time effectively
- High school degree

Pay: From $42,000.00 per year
