Position Overview:
Job location: SEABEE MEMORIAL CHAPEL, NCBC GULFPORT, MS
The Administrative Support Assistant is a key role in providing administrative support and office management for the Command Religious Program (CRP) at NCBC Gulfport, specifically at the Seabee Memorial Chapel. This position involves handling administrative tasks, financial management, and delivering exceptional customer service to support the mission of the Command Chaplain and the CRP.
Major Duties and Responsibilities:
- Administrative Support (45%):
- Prepare correspondence following formatting standards.
- Prepare files according to the naval correspondence manual
- Supports special projects, including drafting Command briefs and reports
- Manage mailing documents and maintain files per naval correspondence guidelines.
- Provide information on chapel programs and handle inquiries.
- Maintain inventory of religious and office equipment/supplies.
- Process forms for chapel volunteers, especially for programs involving minors.
- Provide technical support on office automation.
- Coordinate chapel facilities usage for CRP functions.
- Assist in drafting Command briefs and reports.
- Financial (20%):
- Research vendors and assist in purchasing items.
- Tracks processing time of claim submissions to ensure CNRSE policy and regulations are achieved
- Monitor monthly budget status reports.
- Assist in accounting oversight for Religious Offering Funds.
- Track supply processing time and ensure compliance.
- Provide data analysis for budgeting.
- Customer Service (35%):
- Greet and assist chapel visitors, providing program information.
- Liaise with local civilian organizations supporting military personnel.
- Manage donated items ensuring compliance.
- Handle inquiries and assist families by connecting them with relevant agencies.
Set up audio/visual equipment for briefings and/or meetings. Perform other administrative and clerical duties as assigned.
Required Qualifications:
- Knowledge of administrative procedures and naval correspondence standards.
- Proficiency in office automation software.
- Strong organizational and multitasking skills.
- Ability to maintain confidentiality and professionalism.
- Valid state driver’s license.
