Position Summary
The Benefits/Payroll Specialist is responsible for managing and processing the company’s monthly and biweekly payroll for employees in various states in the US, including internationally in Hong Kong.
This individual will be responsible for administering benefit transactions and monthly reconciliations.
BPS is the first point of contact in onboarding employees, providing offer letters, initiating HRIS onboarding and offboarding, and conducting benefit orientations.
KEY ACCOUNTABILITIES AND ESSENTIAL FUNCTIONS other duties as assigned
- Prepares and inputs payroll data using Paylocity to produce accurate and timely payroll.
- Ensures compliance with all applicable state and federal wage and hour laws.
- Prepares weekly, monthly, quarterly, and year-end reports (gross payroll, hours worked, vacation accrual, tax deductions, benefit deductions, unpaid time off, etc.) for management.
- Administer all group benefits plans to ensure enrollment, changes, and terminations are reconciled accurately.
- Coordinate with benefits with insurance providers to ensure accurate record-keeping and proper deductions.
- Correcting incorrect data information on Paylocity/HRIS, including but not limited to employee access, employee timecard, employee PTO, and training.
POSITION DUTIES
- Provide offer letters and international new hire/exiting employee processes.
- Ensure timely and accurate processing of payroll transactions, including new hires, terminations, and changes to pay rates, benefits, garnishments, taxes, and other deductions.
- Ensures accurate and timely processing of payroll updates, including preparing and maintaining accurate records and reports of payroll transactions.
- Processes and administers group benefits programs (group health, dental, vision, short-term and long-term disability, worker's compensation, life insurance, travel and accident plans, flexible spending, retirement, commuter benefits, etc.).
- Administration of the 401K plan to include the annual 401K 5500, rollovers, QDROs, QMCSOs, distributions, loans, hardships, and compliance testing.
- Handle enrollments and family status changes and termination of benefits, including managing and reporting on COBRA, disability, add, and workers' compensation claims.
- Enter employee data into various information systems with benefits vendors to ensure the accuracy of data manually and via EDI feeds.
- Manages employee leaves.
- Ensures compliance with federal, state, and local payroll, wage, and hour laws and best practices.
- Monitor administrative costs of benefits programs and recommend cost containment strategies, including alternative methods for administration and funding. Prepare budgetary recommendations and assist in monitoring, verifying, and reconciling budgeted funds.
- Facilitates audits by providing records and documentation to auditors.
- Documenting processes, identifying HR concerns, and compiling data analysis reports.
- Maintains and distributes materials for benefits orientations, open enrollment and summary plan descriptions.
- Provide customer service support to internal and external staff members. Develop communication tools to enhance understanding of the company's benefits package.
- Survey industry trends. Complete benefits surveys and review information obtained from the results. Analyze complex benefits information. Forecast trends and assist with future benefits designs. Develop specific recommendations for review by management.
KNOWLEDGE AND EXPERIENCE
- A bachelor's degree in computer science, information systems, HR management, business administration, or similar.
- 3-5 years of experience in Benefits/Payroll/HRIS analysis in a related industry, E-commerce, Production, or Media.
- Exceptional ability to gather and interpret data and improve HRIS processes.
- Ability to collaborate, provide technical support, and train staff.
- Extensive experience in analyzing HRIS and HR performance metrics.
- Advanced proficiency in database management and security and running SQL queries.
- Experience in documenting processes, as well as performing diagnostic tests and audits.
- Must be reliable, knowledgeable about benefits and payroll, and highly accurate. References required.
- Exceptional interpersonal and communication skills.
- Knowledge of basic HR processes, file management, I9, and benefits processing.
- Familiarity with Windows 365 and Mac. Excel experience is required. Comfortable creating PivotTables and What-If scenarios.
- Comfortable with managing different types of leaves in different states.
- Knowledge of use of ATS, Paylocity required, ADP, or similar.
- Knowledge and exposure to payroll processing in the following states: NY, OR, and MA necessary.
Benefits
The salary range for this full-time position is $55,000 - $65,000, commensurate with experience and skills.
