Accounting & Logistics Administrative Assistant Job Description

The Accounting & Logistics Administrative Assistant is responsible for assisting the Accounting Department with daily tasks. Other responsibilities include, but are not limited to:

  • Assist Accounts Receivable with invoicing on demand and monthly statements.
  • Assist Accounts Receivable with data entry and scanning documents.
  • Assist Accounts Receivable with collections on outstanding customer accounts.
  • Enter customer quotes and data into accounting software (Sage 100).
  • Prepare outgoing mail and packages (USPS, UPS, FedEx).
  • Perform all office errands, including but not limited to, going to post office, FedEx, UPS, bank deposits, and notary, and picking up office supply orders.
  • Coordinate product delivery schedules with customers.
  • Coordinate daily activity to track locations and movement of trucks; provide information to customers as needed.
  • Work closely with transportation providers to ensure efficient and effective execution of product delivery.
  • Generate purchase orders for trucking.
  • Check all trucking invoices for logistics services against open purchase orders.
  • Verify delivery confirmations on all shipments.
  • Verify inventory locations and availability for shipment against requirements specified in purchase orders with Operations Report.
  • Review inventory position daily and weekly against outstanding orders and sales forecasts to be current with customer demands.
  • Process trucking confirmations, material authorizations with satellite plants, bill of ladings for all plants, and order information sheets.
  • Generate quotes as needed.
  • Coordinate ingoing/outgoing frames and process monthly Frame Rental Report.
  • Verify accuracy of customer purchase orders against Submar quote issued.
  • Organize and maintain electronic copy of mat orders until transferred to accounting.
  • Alert Operations if Certification Paperwork is needed.
  • Other duties as assigned.

Qualifications

  • A high school diploma or G.E.D. equivalent is required.
  • A valid driver’s license with an acceptable driving record is required.
  • An Associate’s degree in Accounting, Business, or related field is preferred.
  • 5 years’ experience working in accounting, logistics, or a related field is preferred.
  • Experience at an intermediate level in the following Microsoft applications: Word, Excel, PowerPoint, and Outlook are required.
  • Ability to juggle competing priorities, multi-task and change direction with a variety of workplace tasks.
  • Ability to quickly learn new applications such as Sage 100 and Smart Sheet is required.
  • The ability to effectively communicate, both verbally and in writing, with other individuals, teams, and customers in a business like and professional manner is required.
  • The ability to remain focused and on task through completion despite setbacks.
  • Takes initiative and is proactive in addressing issues.
  • Ability to demonstrate conscientiousness, dependability and commitment to the role, team and company.
  • Ability to take action to achieve goals beyond what is required.
  • The ability to keep deadline/cost commitments using sound business judgment and professionalism.

  • This position is a remote work position; the ability to drive to the Thibodaux, LA office and Houma, LA for job duties as needed is required.
  • A home office setup and reliable internet is required.

This is a work from home position that will be located out of the Thibodaux, LA or Houma, LA area.
