Overall responsibility:

Under the supervision of the Vice President of Finance, the Payroll Specialist will process bi-weekly payroll for multi-state levels using Paycom for salaried and hourly employees.

Key tasks:

  • Audit employee time and labor data using payroll audit reports/pre-check register and interact with the HR department and department supervisors to verify data and resolve discrepancies.
  • Process payroll in a multi-state level corporate environment.
  • Establish and ensure accuracy of federal, state, and local taxes, social security contributions, employee benefit contributions, fringe benefits, garnishments, and other deductions of employee paychecks.
  • Establish state tax, unemployment tax and local city/territory accounts as necessary.
  • In coordination with Paycom, responsible for accurate and timely tax filings for multi-state levels. Manage state payroll payments and online state accounts and notices.
  • Processes garnishments and communicates garnishment information to all parties.
  • Balance payroll accounts by resolving payroll discrepancies.
  • Strong understanding of multi-state payday laws
  • Analyze and respond to inquiries from employees regarding paycheck amounts, deductions, leave accruals, direct deposit, and other concerns.
  • Research and gather required documents to set up required tax accounts in new states where employees reside.
  • Research payroll tax payments and data discrepancies with federal, state and local agencies, and work with tax agencies, payroll servicer, and internal staff for resolution.
  • Implement procedures to mitigate future risks and errors.
  • In coordination with Paycom, responsible for accurate and timely tax filings for multi-state levels. Manage state payroll payments and online state accounts and notices.
  • Collaborate with the Accounting and HR departments on General Ledger posting, insurance balancing, and employee activity to ensure accurate reporting.
  • Pull various payroll reports from HRIS system. Leads with external auditors on 401k and annual audits, walk-through, and all other information gathering.
  • Calculates and posts the bi-weekly payroll journal entry in the ERP / Accounting System.
  • Calculates and post monthly accrual for payroll, 401k, and bonuses in the ERP system.
  • Reconciles balance sheet accounts for payroll expenses.
  • Leads weekly Payroll/HR meeting to go over issues.

Requirements:

  • A minimum of 3 years payroll processing experience in large, multi-state environment
  • Comprehensive knowledge of payroll best practices and related law regulations
  • Proficiency in Paycom is highly desirable.
  • A minimum of an associate degree or bachelor’s degree, or comparable experience
  • Must have experience with multi-state payroll, garnishments, and automated timesheets.
  • Experience using Paycom payroll solution is a plus.
  • Proficiency in Microsoft Outlook and Excel (Intermediate)
  • Must be detail oriented and able to manage multiple competing deadlines.
  • Strong and proven customer service skills
  • Strong organizational skills
  • Experience with NetSuite ERP system a plus.

Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.

Computer Skills:

To perform this job successfully, an individual should have knowledge of Microsoft Office Suite, Internet Browsers, and cloud-based enterprise solutions.
