Job Summary
Plans, coordinates, and executes Foundation, patient, employee, and other SPMC events and activities. Ensures SPMF/SPMC events and related activities provide a positive “Summit Experience,” build strong relationships, and increase overall engagement.
Job Duties and Responsibilities
- *Plans and coordinates events on and off campus to produce strategic and successful outcomes within a specified budget. Arranges for resources (such as sponsorships, volunteers, materials, audio visual services, interpreters, catering, decorations, parking, entertainment, programs, speakers/special guests, media coverage, mailings, promotions, and event setup/cleanup). Consistently acts as a good steward of resources and considers the return on investment in all aspects of event planning and coordination.
- *Collaborates with individuals and groups, including SPMC staff, vendors, community organizations, sponsors, guests, etc., both internally and externally to arrange, resolve issues, and ultimately achieve successful, well-attended events. Handles all interactions with tact and courtesy, ensuring the smooth coordination and execution of assigned activities.
- *Actively identifies, recruits, trains, and manages volunteers for events as needed. Ensures volunteers feel valued and have a positive experience.
- *Uses attendance analysis, event satisfaction surveys, and other assessment factors to analyze event outcomes and contribute to the strategic thinking and planning for future events; identifies and suggests areas for enhancement.
- *Performs administrative functions related to event planning and follow-up; builds and maintains comprehensive and accurate records (examples include event timelines and checklists, guest lists/rosters, fundraising details, expense reports, and event summaries).
- *Creates professional collateral materials using SPMC/SPMF brand guidelines. Examples include: invitations, flyers, advertisements, signage, programs, presentations, and social media posts.
- *Collaborates with leadership to develop, coordinate, and maintain a comprehensive calendar of events. Works with appropriate stakeholders to brainstorm ideas and develop recommendations for new activities and events. Provides insight and ideas to optimize the use of available space/resources in ways that support SPMF and SPMC mission and vision.
- *Provides regular and ad hoc reports to Director and other stakeholders. Provides regular updates (written and/or verbal) to event stakeholders. Ensures interested/involved parties are aware of any issues/problems and related resolutions.
- Performs special projects and other related duties as assigned.

Required Education and Experience
- Bachelor’s degree (marketing or communications or similar concentration, preferred)
- One year of work or student experience in one or more of the following: event/project coordination, fundraising, marketing/communications, or volunteer management.

Required Knowledge, Skills, Abilities
- Demonstrated project management skills and ability to plan and execute successful events for the district, foundation, and the community that meet the needs and expectations of many different stakeholders.
- Demonstrated service-minded approach; ability to cultivate effective relationships and work in collaboration with both internal and external customers, individuals and groups. Ability to address and resolve concerns/challenges in a timely, diplomatic, and appropriate manner.
- Strong verbal communication and professional presentation skills, including the ability present to both small and large crowds.
- Proficiency with personal computer and in all Microsoft applications including Word, Excel, PowerPoint and Publisher. Ability to learn and adapt new technology as required to meet ongoing needs and expectations of the position.
- Advanced writing and editing skills. Knowledge of graphic design and Adobe suite, specifically Illustrator, InDesign and Premiere. Ability to create events-related communications and marketing materials.
- Ability to effectively coordinate, manage, and lead volunteers.
- Ability to perform a wide variety of complex assignments that require the use of independent judgment, problem-solving, organization, and interpersonal skills. Advanced ability to prioritize and manage many details simultaneously and with a high degree of accuracy.
- Ability to research, track and analyze data from a variety of resources to develop appropriate assessments, reports, and recommendations. Ability to conceptualize and create professional, high-quality, cost-effective events.
- Ability to work a flexible schedule with occasional long hours and night/weekend commitments.
- Must have appropriate transportation and ability to travel to various locations both inside and outside the district.
The pay range for this position is $26.61 – $37.14 per hour, depending on experience.
