The Front Office Administrative Support is a key role responsible for creating a positive and welcoming environment for clients, visitors, and their internal team. This position sets the tone for the organization by providing administrative support to the branch advisors and investment team to ensure operational efficiency.

Key Aspects of a Director of First Impressions Role:

Front Desk Operations:

  • Welcome clients, prospects, and guests as they arrive at the office with a friendly and professional demeanor.
  • Coordinate and manage the advisor(s) calendar scheduling.
  • Answer and direct incoming phone calls and inquiries to the appropriate individuals,
  • Receive and distribute incoming/outgoing mail, packages, and deliveries.

Intentional Relationships:

  • Cultivate and deepen relationships with clients
  • Coordinate and facilitate office team, client, and community involvement events.
  • Send client life-event and memorable moment cards and gifts

Administrative Support (Assist with various administrative tasks to ensure office efficiency, tasks may include but are not limited to):

  • Log, deposit, and route investment checks.
  • Oversee and order office inventory.
  • Manage postage accounts.
  • Manage, file, and disseminate office marketing materials.
  • Assist advisors and client support team with general client-related tasks, projects, and inquiries.

Documentation, Communication & Compliance

  • Address inquiries and provide ongoing support to ensure a high level of satisfaction.
  • Ensure accurate and complete documentation of client information and other relevant records following regulatory requirements and internal policies.
  • Collaborate with advisors and the client support team to enhance and document office and client procedures.
  • Continuous Learning
  • Stay abreast of industry developments, regulatory issues, and service enhancements by reviewing broker/dealer communications and team news bulletins.
  • Participate in training programs and professional development opportunities to enhance your knowledge and skills.

Education & Experience Requirements

  • AA, BA, or BS in Business/Finance or equivalent work experience preferred
  • Minimum two to three years of administrative support experience

  • Exceptional people skills, including active listening, effective communication, and a professional knowledgeable demeanor,
  • Strong computer skills, including MS Word, Excel, and Outlook.
  • Exceptional time management and organizational abilities.
  • Strong attention to detail, accuracy, and proofreading and editing skills.
  • Demonstrates the ability to work well in a fast-paced, deadline-driven, and collaborative environment with a “can-do” attitude.
  • Self-motivated; and goal-oriented at an individual and team level

Compensation

  • Salary Non-Exempt
  • $21.30 - $24.81 per hour
  • Bonus Eligible (eligibility requirements apply)

Work Location: Rapid City, SD

Supervisory Responsibility - This position does not have supervisory responsibilities.

Travel - Limited travel is required for company meetings and training. The employee must be able to travel independently on an infrequent basis, including some overnight stays.
