Position Summary:
This position will support the Sr. VP of Employee Services as well as the Employee Services department. Provides coordination of administrative functions for the Executive and associated areas of responsibility to meet the needs of all customers and that fulfills the mission of Heritage Provider Network, Regal Medical Group/Lakeside Community Health. The Assistant is responsible for the coordination of all meetings, calendars and travel. Creates forms, documents, presentations as requested. Is responsible for meeting minutes as assigned. Prepares expense reports and performs follow up as needed. Will assist with data entry into ADP system and with running ADP reports. Provides support for training and development sessions as needed. Maintains all policies and procedures for the organization in an orderly and uniform fashion. Maintains confidential files. Works with leaders to develop and maintain regulatory dashboards. This position provides general assistance and support, interfaces with specific customers (i.e. Executive team, Medical Directors, Management and all employees) and will assist with special projects and with employee events. All other duties as assigned.
Essential Duties and Responsibilities include the following:
- Must have excellent written and oral communication skills. Maintains confidentiality. Has excellent organizational and follow through skills. Is courteous and professional at all times.
- Maintain and coordinate calendars/meetings for Sr. VP of Employee Services and for Employee Services Department
- Manage logistics including travel planning, arranging meetings, project organization, expense reports
- Clerical work – streamline/process paperwork, create forms/letters/documents, organization/storage
- Maintenance of ongoing projects including watching timelines, verifying completion of assigned tasks by responsible parties, facilitating communication between team members
- Develop and maintain working relationships with key personnel, business associates, customers
- Coordinate interactions with other departments/programs
- Obtain feedback/complaints from customers, team-members, and staff. Develop action plans to address issues.
- Distribution of key metrics/news/information
- Maintain policies/procedures/guidelines. Facilitate access/distribution.
- Data entry and report running in ADP
- Assist in preparation and in approval of JANs and PANs
- Special Projects as assigned
The pay range for this position at commencement of employment is expected to be between $25 - $27 per hour; however, base pay offered may vary depending on multiple individualized factors, including market location, job-related knowledge, licensure, skills, and experience.
The total compensation package for this position may also include other elements, including a sign-on bonus and discretionary awards in addition to a full range of medical, financial, and/or other benefits (including 401(k) eligibility and various paid time off benefits, such as vacation, sick time, and parental leave), dependent on the position offered.
