Overview

Audits closed first or second mortgage loans for accuracy, compliance and completeness. Verifies that closing underwriting conditions have been met and ensures legal and other supporting documents are properly prepared and processed. Records mortgage documents with the appropriate Clerk of the Circuit Court in order to perfect liens on property offered as security for loans.


Responsibilities

  • Responsible for opening, distributing and processing mail received from closing agents. Updates mortgage loan origination system to reflect when documents are received.
  • Audits various type of first or second mortgage loans to ensure that all required documents are complete and required signatures obtained.
  • Reviews reports from mortgage origination system to monitor receipt of closing packages from title companies and service centers.
  • Forwards mortgage forms, satisfactions, and other required documents to the Clerk of the Circuit Court in the appropriate county for recording, or electronically records documents when able. Confirms that all documents are received by the appropriate Circuit Court Clerk.
  • Audits incomplete loans for missing paperwork, internal errors, and pending forms mailed for required signatures. Communicates with Service Center staff and Mortgage Processor/Closers to obtain all required paperwork, signatures, and error corrections in order to complete the file.
  • Updates mortgage origination system(s) with dates, notes and correct loan status as it relates to auditing mortgage files. Uses reports from the mortgage origination system(s) to track and follow up on trailing documentation to complete audit and archive file.
  • Prepares, sorts, scans and uploads legal and loan support documents for optical imaging. Ensures imaged files are moved from mortgage loan origination system and sent for archival.
  • Responds to all incoming emails and communications within established timelines. Ensure documents sent outside of the credit union are securely protected and sent to the appropriate parties.
  • May assist with balancing general ledger for the electronic recording checking account. Researches and resolves discrepancies as needed.
  • Prepares files for audit, in cooperation with internal audit staff.
  • Attends job-specific training classes as requested by manager. Completes annual BSA/AML compliance training and understands employee’s role in maintaining an effective BSA/AML compliance program, and completes FACT Act Red Flag training.

Qualifications

  • High school diploma or equivalent.
  • 2 or more year’s previous experience in audit or quality control, preferably with a financial institution.
  • Basic accounting skills in order to understand credit and debit processing.
  • Accurate, detail-oriented, and organized. Able to resolve routine problems and situations.
  • Able to prioritize tasks, deal effectively with competing and changing priorities, and meet deadlines. Accurate, detail-oriented, and organized. Able to resolve routine problems and situations.
  • Basic knowledge and understanding of Credit Union products, services, policies, and procedures pertinent to the job.
  • Basic knowledge and understanding of regulatory compliance necessary to successfully perform job responsibilities.
  • Basic knowledge and understanding of all Credit Union computer systems and software applications required to perform job duties.
  • Good verbal and written communication skills and interpersonal skills in order to interact professionally and effectively with members, staff, vendors, and government regulators. Able to communicate information that requires some explanation or interpretation.
  • Work is closely supervised.

Must be able to lift and carry up to 25 pounds. Vision requirements include close and classroom vision. Occasionally required to travel by automobile. Occasionally required to work other than normal business hours.
