Job Title: Transportation Coordinator
Location: 3935 Sunnyside Drive Harrisonburg VA 22801
Hours: Full-Time, Monday-Friday 8am-4:30pm
Position Overview & General Responsibilities:
The primary responsibilities of the Transportation Coordinator are to coordinate and supervise the daily operations of the transportation office. This includes but is not limited to managing all incoming calls, scheduling residents’ medical appointments, managing transportation drivers’ schedules, confirming resident appointments to ensure dates/times of transportation needed, coordinating drivers and specific vehicle transportation to and from various locations and ensuring efficiency of the driver’s schedules and all transports. In addition, provide administrative support to the Residential Living Director for departmental reports/audits and documentation. In some cases, it may require stepping in as a driver if needed.
- Schedule and confirm residents’ medical appointments. Schedule appointments in a timely manner. Ensure departments are up to date on all appointments and any changes. Distribute appointment schedules to appropriate nurse’s station.
- Generate appointment schedules for Transportation Assistants. Ensure schedules are complete with escorts, departure times, locations, etc. and are completed by 3pm daily. Provide completed schedules for Transportation Assistants. Inform Transportation Assistants of any/all changes in daily schedule.
- Coordinate appointments and staff schedules in advance and daily. - Communicate effectively to ensure smooth operation of department.
- Be responsible for daily transportation schedule and handle changes / complications to transportation schedule due to unforeseen situations. - Remain calm when situations arise and make changes to deal with them in the most non-disruptive and efficient way possible. Receive walk-in customers and answer department telephone. - Assist customers as needed. Answer calls promptly and courteously.
- Transport residents and other passengers to scheduled medical appointments and other locations as needed. - Transport passengers using wheelchair bus, van or other passenger vehicles in a safe manner while adhering to proper driving/road procedures.
- Provide campus shuttle. Arrive at shuttle locations by designated time.
- Transport residents town for various shopping trip.
- Account for all residents on each trip. Arrive at location(s) by designated time.
- Respond to medical emergencies while transporting residents and/or other passengers. Handle emergencies calmly and professionally.
- Follow vehicle accident policy RS.047 if involved in an auto accident. - Follow policy/procedure accurately and timely.
- Operate equipment including, but not limited to copier, cellular phone, wheelchair, wheelchair bus with hydraulic lift and belt restraints, 14-passenger bus and passenger vehicles. - Operate all equipment safely and efficiently.
- Communicate all incidents/issues involving resident transports to the Residential Living Director.
- Report incidents/issues the same day when possible.

Requirements
Requirements/Qualifications:
- Education and experience equivalent to high school diploma. Education / experience equivalent to an associate’s degree preferred.
- Comfortable learning new computer programs to meet the ever demanding need to advance department efficiencies.
- Operates personal computer, printer, copy machines and other general office equipment. Familiar with Microsoft Office (Word & Excel)
- Prior experience in medical scheduling preferred.
- Strong written and verbal communication skills to include phone etiquette and ability to work with people of all ages.
- Ability to multi-task while maintaining attention to detail and having good organizational skills.
- Ability to work with confidential information and maintain its’ integrity.
- Basic reading, writing and math skills.
- Certified in CPR and First Aid or willingness to obtain.
- Strong customer service skills; maintain a hospitality approach when engaging all individuals.
Current Virginia driver’s license and meets driver eligibility requirements per Sunnyside policy HR069.
Environmental and Physical Considerations
- General office environment with normal lighting levels, temperature ranges, air quality, ventilation and noise level. Outdoors and in vehicles when transporting residents in various weather and traffic conditions.
- Physical requirements include the exertion of up to 100 pounds of force occasionally, and/or up to 50 pounds of force frequently and/or up to 20 pounds of force constantly to move objects. Have ability to load/unload residents in wheelchairs into wheelchair vehicles. Ability to push, pull, bend, stoop, squat, climb stairs and walk long distances. Always use proper lifting and moving protocols and techniques.
- Minimal hazards while in office environment. If transporting, may have occupational exposure when handling lab specimens and/or assisting with resident emergencies; however, minimal hazards if universal precautions are followed.
