The ACCOUNTS PAYABLE COORDINATOR is responsible to process and collect payment on group and individual bills owed to the hotel, in order to provide timely and accurate financial information to hotel executive management.
The expected base wage range for this position is: $17.10 to $26.95 per hour. This position may be eligible for additional compensation according to the Company’s policies, as they may be amended from time to time.
ESSENTIAL DUTIES, include but not limited to:
- To follow all specified procedures to satisfactorily perform routine Accounts Receivable tasks for Corporate, Catering and group accounts, including preparing bills; resolving inquiries and billing problems; making collection calls to outstanding accounts; posting deposits and payments, including gift certificates; and processing miscellaneous charges and adjustments.
- To follow all specified procedures to run and review the Guest In-House PM Account report from Opera informing Front Desk or Sales of any action needed regarding Corporate, Wholesale or Catering accounts.
- To periodically review and adjust all house accounts, as directed.
- To review daily credit card submissions ensuring proper processing and submitting any outstanding credit cards.
- To track remaining balances on all trade (barter) accounts, as directed.
- To direct bill all appropriate front-office accounts to the back-office, as directed, including adjusting accounts and generating billings.
- To review group credit card submissions with Sertifi.
- To attend the weekly group evaluation meetings, group pre-cons and other meetings, as directed.
- To work in-person during normal business hours
JOB KNOWLEDGE & EDUCATIONAL LEVEL: AA degree in Accounting, or equivalent experience required. English fluency required. Must have minimum one year experience in basic accounting function. Must know ten key by touch, and be familiar with routine office procedures. Must be computer literate. Must display knowledge of currently accepted business phone etiquette. Hotel experience preferred.

Strong verbal communications skills. Courteous, friendly, and professional manner. Good team player. Customer service focus. Able to work productively with little supervision. Trustworthy and reliable. Must be able to work to deadlines.
PHYSICAL DEMANDS: Stands/walks approximately 10% of shift. Sits at desk or in meetings approximately 90% of shift. Uses personal computer approximately 80-90% of shift. Occasionally required to handle and move objects weighing up to 40 lbs. over short distances. Moderate to heavy use of phones, daily. Frequent use of stairs, daily. Requires extensive reading and computation.
