The Practice Manager performs a wide range of difficult to complex administrative activities related to the Hospital providing quality patient care and excellent client service, management of finances and accounting, marketing, and promotion of services, staffing and human resources, and discretionary activities, that serve to support effective business operations.
Responsibilitiesinclude:
- Overseeing the recruitment, interviewing, and hiring of staff.
- Monitoring employee competence and effectiveness through manager feedback and observation as well as staff performance and salary reviews.
- Assigning job responsibilities to managers and delegate as necessary.
- Policy enforcement as well as overseeing disciplinary actions and terminations.
- Conducting staff meetings. Meet regularly with managers to discuss, evaluate, and plan for the welfare of the practice. Attend corporate meetings.
- Responsible for administration and review of non-medical client complaints.
- Overseeing client flow to ensure that clients and patients are seen and treated in a professional, timely and competent manner. Also, oversee billing, calculations of any discounts and other special accounts.
- Budgeting - monitoring purchasing so the practice operates within budget. Monitoring the staff scheduling so that the practice operates within budget. Monitor and approve all expenditures within the Practice's guidelines.
- Ensure that the OSHA and Safety program and procedures are being monitored and updated so that the hospital is in safety compliance.
- Reviewing income statements and other financial data to find ways to improve revenues and hospital contribution. Meeting regularly with veterinarians to review financial performance.
- Reviewing accounts receivable to confirm proper and timely processing.
- Participate and support planned marketing events and programs and ensuring that the hospital staff utilizes marketing tools and materials and events and programs.
- Respond to all communication in a timely manner to ensure that the Practice's policies, guidelines and recommendations are quickly communicated to hospital staff and adequate training follows if needed.
- Work alongside a Critical Care DVM as their Medical Director counterpart with a focus on training and growth of internal team and assistant managers
ESSENTIAL SKILLS:
- Knowledge of financial budget management.
- Knowledge of sales and marketing techniques.
- Background in managing service-oriented operations.
- Ability to plan, organize and effectively present ideas and concepts.
- Ability to take information obtained from clients, staff, and other sources, discern that which is credible and assess the hospital and its operation objectively.
- Must be able to multi-task and deal with high levels of stress in an environment of changing priorities.
EDUCATION:
- College degree preferred
- MBA is a plus
- Minimum of 5 years of experience in a medical care facility operations management with profit and loss responsibility
