Responsibilities
Front Desk/Facility Access
- Greets visitors; determines the purpose of each person’s visit and directs or escorts them to the appropriate location
- Ensures that all visitors sign in to the visitor system and receive badges before entering the facility, runs monthly Visual Compliance Report
- Answers and directs phone calls not handled by automated system
- Manages the reception area, ensuring it is tidy and presentable
- Receives, sorts, and distributes daily mail and deliveries
- Provides basic information to visitors and employees regarding company policies and procedures
- Forecasts and maintains office supplies to ensure adequate supplies are available
- Orders lunch for meetings and maintains conference room supplies
- Performs administrative and clerical support tasks as needed, such as auditing data, creating documents and scheduling interviews and meetings
- Assists with onboarding processes, including preparing new hire packets
- Training database administration
- Updates training databases with new employees and changes
- Creates monthly training sheets and logs in completed training
- Updates Work Instructions in training database
- Issues employee parking decals and runs monthly parking decal report
- Conducts quarterly paperwork audits for parking decals and facility keys
- Strong organization and attention to detail
- Excellent interpersonal and customer service skills
- Basic understanding of administrative and clerical procedures and systems
- Proficient with Microsoft Office Suite (Word, Excel, Outlook)
- High school diploma or equivalent; additional education, experience/interest in HR a plus
- Bilingual English/Spanish a plus
- Prolonged periods of sitting at a desk
- Must be able to lift up to 15 pounds at times
