We are looking for a Director of Operations for our Rental, Catering and Floral facilities in Houston, TX. The incumbent in this role will be responsible for ensuring that all deliveries and pickups are conducted in the scheduled time frame, all catering events are completed to customer satisfaction and florals arrive to event site on time and secure. In addition, the management of all logistical aspects such as being a first point of contact for our fleet of drivers, scheduling, overseeing day-to-day operational issues, dispatching, verifications, deliveries, customer issues, hiring, ensuring compliance with DOT rules and regulations, safety, and assisting with billing and drivers’ payroll.
As Director of Operations, you will create incentives for employees and evaluate your department’s efficiency and productivity. Additionally, you will collaborate with company owner to develop strategic plans for business growth based on short-term and long-term goals, communicate those goals to your team and guide them to success.
Essential duties and responsibilities for this position include:
- Coordinates the activities of the transportation staff to ensure deliveries are made in a safe, efficient and timely manner, maintaining dependability and customer satisfaction.
- Manages staff of drivers; hires, schedules, monitors time and attendance, provides training and guidance.
- Oversees day-to-day administration of delivery function including managing, monitoring department expenses, approves driver payroll, reviewing driver trip and expense reports and identifies and resolves problems.
- Manages the offices / warehouses to ensure the highest level of efficiency within the operation, including managing open/close procedures at all 3 locations.
- Ensure that all equipment and services are delivered on time, in good working condition and as specified by clients and in accordance to brand standards.
- Use inventory control procedures to maintain proper inventory levels while also maintaining safety, security, and quality assurance of equipment and buildings.
- Responsible for scheduling truck deliveries and routing on a daily basis, changes routes accordingly to meet customer needs and to maximize route profitability.
- Responsible for equipment scheduling and maintenance.
- Analyzes equipment needs and determines the type and number of trucks required. Sets up rental of additional vehicles and equipment as required and schedules equipment maintenance as necessary.
- Responsible for coordinating catering vehicles and catering rental deliveries occur on time.
- Maintains and updates all relevant information on drivers such as license, tickets for moving violations, accidents and other risk and safety-related data and reports all data to Owner.
- Makes recommendations for changes in staffing as necessary to meet demands of workload and seasonality of the business.
- Enforces, and maintains safety standards, policies, practices, and procedures to comply with laws and regulations and minimize accidents and injuries; assists in the ongoing company safety programs.
- Dispatches and verifies ingoing and outgoing trucks.
- Schedules the order of loading and unloading to meet customer demands in the most cost-efficient method possible.
- Rotates and schedules drivers in trucks to maximize equipment utilization.
- Maintains preventive maintenance logs and mileage records on all units.
- Assists office personnel with maintaining rental invoices and records.
- Manages and trains dispatch staff to handle Will Call tickets with pick up and returns.
- Completes accident investigations and reporting.
- Conducts truck inspections including walk around inspections, cab inspections, etc. (weekly)
- Handle all administrative duties associated with warehouse staff, drivers and trucks.
- Addresses operations complaints and resolves problems.
- Review and approve all invoices related to warehouse operations.
- Ensure that all cost centers including but not limited to controllable expenses, labor and vendor agreements are overseen and within budgetary guidelines.
- Participates and leads weekly Production Meetings with Director of Sales.
Experience and Qualifications:
3 years transportation management experience within the rental industry or related management experience including off premise catering a plus.
High School Diploma/GED required.
Bilingual – English/Spanish required.
Bachelor’s- business management, logistics or related area is a plus.
Experience managing in a fast-paced work environment.
Computer skills including Windows applications and MS Excel.
Ability to multi-task in a fast-paced environment.
Must be well versed in vehicle and all other necessary transportation and safety compliance
Prior logistics management is a plus.
Experience in administering vehicle maintenance required.
One-year previous Dispatcher experience (highly preferred).
Requires the ability to communicate effectively and work with limited supervision.
Requires the ability to read tickets, write (logs, mileage reports), and count (inventory on truck).
Ability to work in a high stress environment including employee supervision, extended work hours, equipment breakdowns or malfunctions, truck scheduling during peak periods, and unusual customer demands and complaints.
Seasoned in employee engagement and retention.
Must have warehouse distribution experience.
