Job Responsibilities:
Order Entry:
- Monitor email for all new order requests
- Enter orders into TMW accurately
- Add orders to Dispatch Board
- Update/Revise orders as needed
CSR:
- Be point of contact for Customers and Team Members to inform of any updates/status changes.
- Monitor Customer Service Email and respond promptly to customer inquiries via email and telephone
- Liaise with Dispatch to confirm order details
- Receive order confirmations and verify that pick-up and delivery dates/times line up with how customer was rated
- Request paperwork such as customs documents and updated bills from customers
- Develop and maintain business network of contacts
- Customer Reports
Operations – Dispatcher:
- Execute the dispatch plan, setting up the routing and planning pick-ups
- Dispatch all loads to the drivers
- Assist Load Planners in day-to-day operation
- Provide drivers with accurate information for picking up and dropping off loads
- Inform drivers of procedures to be followed – e.g. incorrect address, wait times, etc.
- Assign trailers, follow up on dropped trailers
- Close orders in Transportation Management System
- Handling driver issues
- Providing eta’s and updating
- Follow standard operating procedures re transportation of goods, supporting documents, etc.
- Recommend changes to standard operating procedures in order to increase efficiencies on an on-going basis and to provide corrective action
- Finish daily dispatch operations and set up for next day deliveries
Office Administration:
- Book outgoing courier shipments; receive and distribute incoming courier shipments
- Sort incoming and outgoing mail, occasionally deliver inter-company mail
- Coordinate meeting requirements – food, equipment, etc.; maintain meeting room calendars
- Monitor inventory of office supplies, toner and printer cartridges, other; order replenishments when supply is low
- Responsible for scanning and filing documents
- Other responsibilities assigned by manager
Education / Experience:
- 3 years’ experience in the Transportation Industry as an Administrative – Dispatch Support
- University/College Degree in Related Field or equivalent experience
- Proficiency with Transportation Management Software, Excel
Hour of work:
- 9:00 am to 6:00 pm (M-F with lunch break)
