Job Description and Requirements
Synopsys is seeking a motivated, intelligent, personable, adaptable administrative professional to support the VP of Investor Relations and other senior managers of its Finance Team. The Executive Assistant (EA) will engage with senior executives worldwide, as well as high-impact institutional investors and analysts on a regular basis. The ideal candidate possesses depth of experience in executive administrative support, exceptional attention to detail, a track record of maintaining confidentiality with sensitive information, the presence to effectively serve as a key liaison with the investment community and C-level executives, flexibility, proactivity and the ability to anticipate the needs of an executive. The ideal EA will be a trusted business partner to the VP of Investor Relations and have the ability to manage competing priorities.
Responsibilities:
Plan and execute critical meetings, coordinating meeting logistics and follow-up with attendees, proactively resolving conflicts and working with key internal and external executives to plan working sessions for major projects
Manage calendars and daily schedules for executives and team members
Plan and coordinate international and domestic business travel, assuming responsibility for ensuring seamless itineraries
Prepare expense reports and maintain supporting documentation
Coordinate with IT, HR and other support organizations to address team member needs
Backup responsibility for Nasdaq and certain corporate press release uploads
Plan and execute departmental meetings, working lunches, events and off sites, anticipating logistical requirements, monitoring event costs and ensuring timely delivery of all requirements
Consolidate and prepare information and presentations as directed by team members, with great attention to detail, accuracy and quality, using Microsoft Office suite of tools
Provide additional administrative support to Finance and/or broader C-level staff on significant projects
Maintain the utmost discretion and professionalism while dealing with very senior level constituents, including Board members, C-level and other senior managers, and external, highly impactful investors and analysts
Assist with tracking departmental budget and outside vendor invoicing
Requirements:
Bachelor’s degree or equivalent experience
A minimum of 6 years of professional administrative experience, including some experience as an Executive Assistant supporting and/or reporting to a C-level executive
Proficient knowledge of Microsoft tools, including Outlook, Word, Excel, PowerPoint and SharePoint
Excellent oral, written and interpersonal communication skills
Ability to remain flexible and positive in a dynamic and fast-paced environment that spans multiple time zones
Ability to effectively represent the organization as appropriate
Excellent organizational skills, critical thinking skills, and the ability to address multiple priorities and meet deadlines
Highly resourceful team player, with the ability to also be extremely effective autonomously
Proven ability to handle confidential/sensitive information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
