Job Description
The Museum Registrar at the Syracuse University Art Museum performs and manages essential museum-related collections and management tasks, managing over 45,000 collection objects, maintaining records for the collection and overseeing care, storage, and movement of collection. The registrar assists with the development and implements policies and procedures that are in keeping with best professional practice for the registration, documentation, fine art photography, packing, handling, storage, condition reports, display, and security of objects on loan to and in the SU Art Museum’s collections.

The registrar conducts ongoing TMS (The Museum System) and eMuseum database development and management, including recording locations, cataloging artworks, updating record information, unifying lexicon, accessioning, deaccessioning, and inventory. Will also manage and complete all paperwork for new museum acquisitions, including gifts, transfers, and purchases as well as monitoring environmental conditions and light levels in museum galleries and art storage.

Qualifications
  • Minimum of a B.A. museum studies, collection management, or similar or related fields of study. Masters degree preferred.
  • Five of more years of relevant experience preferred. Any relevant education, certifications and/or work experience may be considered.
  • A valid driver’s license is required.

Job Specific Qualifications
  • Thorough knowledge of best practices in conservation, insurance, object handling and museum legal and ethical issues.
  • Extensive knowledge of and experience with collections database software (TMS Collections preferred).
  • Strong written and oral communication skills.
  • Strong interpersonal skills and flexibility.
  • Exceptional attention to detail.
  • Strong organizational and supervisory skills.
  • Ability to manage multiple deadlines simultaneously and to work well with others.
  • Knowledge of Word, Excel, Outlook required.

Responsibilities
  • Assists with the development of and implements policies and procedures that are in keeping with best professional practice for the registration, documentation, fine art photography, packing, handling, storage, condition reports, display, and security of objects on loan to and in the SU Art Museum’s collections.
  • Develops and implements a regular schedule for location audits and condition reports for all objects in the Museum’s collections.
  • Conducts ongoing TMS (The Museum System) and eMuseum database development and management, including recording locations, cataloging artworks, updating record information, unifying lexicon, accessioning, deaccessioning, and inventory.
  • Maintains collection image files and schedules/oversees new art photography for digitization.
  • Manages and completes all paperwork for new museum acquisitions, including gifts, transfers, and purchases.
  • Supervises art handling activities.
  • Ensures compliance with laws and regulations pertaining to collections and collecting activities.
  • Serves as a loan courier to travel with art work going on loan to other institutions as needed.
  • Assists with all programmed exhibitions, installation, incoming and outgoing loan documentation, insurance, shipping, packing, condition reporting, photography, and all other loan requirements upholding museum standards.
  • Manages all collection storage facilities and makes arrangement for empty crate storage when needed.
  • Schedules packing and shipping of art and in-house shipments to and from off-site storage facility.
  • Assists in purchasing supplies for packing, storage, archival materials, or conservation/preventative care related matters and requests quotes.
  • Assists Director/Chief Curator and Associate Director with provenance research as well as collections refinement and deaccession projects.
  • Assists with museum’s pursuit of American Alliance of Museums accreditation.
  • Coordinates monthly Collection Committee meetings in consultation with Chief Curator and Curator.
  • In consultation with Chief Curator, Curator, and Associate Director, helps develop long-range collection preservation policies and procedures.
  • Arranges and oversees all art conservation projects as needed.
  • Works on grants pertaining to collections as needed.
  • Oversees Museum’s study requests and related art ‘pulls.’
  • Responds to researchers about questions concerning the collection and object and donor files.
  • Monitors environmental conditions and light levels in museum.
  • Works with the Associate Director, Museum Building Facility Coordinator, Department Administrative Assistant, SU Office of Risk Management, SU Campus Planning, Design, and Construction and SU Department of Public Safety to maintain, evaluate, and update disaster preparedness plan and emergency procedures.
  • Perform related duties as required or deemed appropriate to the accomplishments of the responsibilities and functions related to this position.
