Requirements:
- Education: High School Diploma.
- Experience: At least one year in an office environment. Proficiency in QuickBooks Desktop is required.
- Knowledge: A strong understanding of basic office procedures and equipment.

- Data Entry Skills: Proficiency in data entry and maintaining accurate records.

Authority:
- Order office supplies within established budgetary guidelines.
Responsibilities:
- Greet all visitors and callers with courtesy and promptness.
- Answer telephone calls courteously and promptly, scheduling estimates, forwarding calls, or taking messages as necessary.
- Manage faxes by forwarding, printing, or deleting as required.
- Assist job applicants, ensuring applications are complete and legible.
- Maintain an inventory of office supplies.
- Receive and distribute mail and faxes in a timely manner.
- Maintain the company's email list, adding or deleting addresses as needed.
- Maintain the supplier mailing list.
- Coordinate with the janitorial service.
- Assist other departments when necessary.
- Maintain employee files, ensuring the currency of required documents such as CDLs, driver licenses, Social Security Numbers, I-9s, W-4s, correct addresses, deductions, levies, and performance evaluations.
- Call for verification of provided documents.
- Perform data entry of inventory, production, and other operational information as assigned.
- Complete payments and control expenses by receiving, processing, verifying, and reconciling invoices.
- Reconcile processed work by verifying entries and comparing system reports to balances.
- Charge expenses to accounts and cost centers by analyzing invoice/expense reports and recording entries.
- Pay vendors by monitoring discount opportunities, verifying federal ID numbers, scheduling and preparing checks, and resolving purchase order, contract, invoice, or payment discrepancies and documentation.
- Ensure credit is received for outstanding memos.
- Issue stop-payments or purchase order amendments.

Pay: $16.00 - $19.00 per hour
