Position Summary
The Academic Administration Specialist in Scheduling is responsible for collaborating with academic divisions and other campus stakeholders to create the academic class schedule. This position is responsible for data entry of the class schedule as well as classroom placement. This position will also assist in campus-wide curriculum initiatives and establish academic administrative practices and standard operating procedures.
Essential Functions
Class Scheduling
- Serve as primary internal contact for academic class scheduling
- Collaborate with academic divisions to coordinate and assist with class scheduling
- Review information submitted for class schedules for completeness, accuracy, and conformance to policies and practices
- Perform data entry to create and maintain quarterly class schedule in ctcLink
- Code classes to implement class-level prerequisite, co-requisite, limitation-on-enrollment, and/or other curriculum requirements.
- Troubleshoot, identify, and resolve problems and issues related to the creation of the schedule of classes. Confer with administrators, faculty, and other staff to develop solutions and recommendations. Escalate issue to SBCTC if necessary.
- Partner with Academic Divisions and Enrollment Services on class modifications and cancellations
Strategic Scheduling Coordination
- Lead effort to develop and maintain a two-year academic schedule
- Use queries to gather class level data to make data-informed and strategic scheduling decisions
- Assist in identifying high impact course combinations to assist in optimal course scheduling
- Coordinate with academic divisions to ensure schedules are consistent and predictable, and are organized in a way that makes it possible for a full-time student to complete a two-year degree in two years
Classroom Scheduling
- Schedule classrooms using 25Live Room Scheduling software and ctcLink
- Troubleshoot issues with classroom placement in coordination with academic divisions and other campus stakeholders
Other
- Train staff on procedures related to the production of a college's class schedule
- Collaborate with Academic Administration Specialist on curriculum related initiatives and projects
- Attend regularly scheduled meetings to remain informed, serve as a resource, and provide technical expertise to faculty, staff, and administrators
- Perform related duties as assigned
Job Type: Full-time
Pay: $60,000.00 - $65,000.00 per year
