Job Description:
Talk To Me Bilingual Speech Therapy is seeking a highly motivated individual with an above average positive attitude to join our growing clinic in our Huntington Park location. The receptionist/assistant will be responsible for providing first-rate customer service to all patients, guests, and staff while maintaining superior organizational skills and effective scheduling. Assist all clinical staff, office manager, and administrators in ensuring efficient operation of the practice. Our goal is to ensure that each family leave completely satisfied, with all their questions answered and scheduling needs exceeded. The candidate we are seeking must be bilingual and be reliable, friendly, flexible, professional, punctual, eager to learn, organized, and able to multi-task in our busy office environment.
Schedule:
- Monday – 9-6
- Tuesday - 3-6
- Wednesday - 3-6
- Thursday - 3-6
- Friday - 8-5
- Saturdays - When needed
- Full Time Available in 6-8 Months
Qualifications and Skills:
- High School Diploma
- 1 year experience in front desk, preferably in a medical setting
- Type 40 WPM
- Enjoy interacting with people in person and on the phone
- Excellent phone etiquette and understanding demands of answering multiple lines
- Excellent verbal and written communication skills
- Must have attention to detail
- Manage multiple tasks and develop solutions in a fast-paced work environment
- Take initiative
- Follow direction well from management
- Must know how to prioritize daily/monthly/quarterly tasks assigned
- Bilingual(Spanish), must be able to speak, read and write fluently
- Use of Word, Excel, Outlook
Responsibilities and Duties:
- Greet, assist, and/or direct all visitors accordingly
- Manage front desk by answering all incoming phone calls, properly route each call to the appropriate person and or department, take adequate messages when required and provide general information when necessary
- Resolve all initial inquiries via phone, fax, walk-in, and/or email
- Forward incoming faxes upon receipt to the appropriate person
- Reminder calls made to patients
- Maintain insurance client list updated daily
- Weekly report submission
- Fax/email all reports to assigned referral sources
- Verbalize and review most current clinic policies and procedures easily with all new patients
- Enforce our strict attendance and cancellation of services policy with current patients
- Maintain a strong and positive work relationship with all staff at TTM
- Oversee, track, and send report to Office Manager regarding all incoming referrals by updating our Monthly Referral log consistently
- Provide office support and administrative duties as requested
- Consistently maintain a safe and clean reception area
- Responsible for opening/closing when needed
- Translate for families as needed
