Job Summary: Incumbent provides administrative support to the Clinical programs and Quality Management programs.

Representative Duties:
Under the general supervision of the Clinical Staff Office Lead Administrative Assistant, job incumbent:

1. Assists the Peer Review RN and Quality Management (QM) staff with various administrative tasks. Tasks will include taking minutes, preparing agendas, tracking action items, running reports, compiling data entry, reserving meeting space and arranging catering for meetings.

2. Assists Clinical Staff Office Admins with tasks such as taking minutes and preparing agendas, tracking actions items, ect for all clinical meetings.

3. Become proficient in the use of RL Datix software.

4. Utilize RL Datix to perform peer review completion audits, run reports, assign chart reviews and perform data entry.

5. Work with Peer Review RN and clinical programs managers to optimize utilization of peer review software for their programs.

6. Prepares Travel Authorizations (TA) and Travel Requests (TR) as assigned.

7. Assist Lead Administrative Assistant with scheduling interviews as needed.

8. Become proficient with Agiloft software.

Minimum Qualifications



Minimum Qualifications:

1. Associates degree or higher or years of equivalent experience in healthcare performing duties required in this job.

2. Two years of administrative or office management experience or healthcare organization.

3. Proficiency or knowledge of using a variety of computer software; MS excel, outlook, and word experience required.

4. Visio and project proficiency preferred.

5. Must pass background check pursuant to federal Indian Child Protection and Family Violence Prevention Act requirements and State of Alaska Department of Health and Social Services.

Knowledge, Skills and Abilities:

Knowledge:

1. Knowledge of CFR – 42, Confidentiality and HIPAA Privacy Rule.

2. Knowledge of organizational policies, procedures, and systems.

3. Knowledge of office management techniques and practices.

4. Knowledge of research methods and procedures sufficient to compile data and prepare reports..

5 Knowledge of grammar, spelling, and punctuation.

Skills:

1. Skill in taking and transcribing dictation and operating office equipment.

2. Skill in answering the phone and responding to questions.

3. Skill in time management, prioritization, and multitasking.

4. Skill in problem-solving.

5. Skill in writing and communicating effectively.

Abilities:

1. Ability to maintain confidentiality while working with private documents pertaining to patients and providers/staff.

2. Ability to establish and maintain effective working relationships with other employees and the public.

3. Ability to work under pressure, communicate and present information.

4. Ability to read, interpret, and apply clinic policies and procedures.

5. Ability to identify problems, recommend solutions, organize and analyze information.

6. Ability to multi-task, establish priorities, and coordinate work activities.

7. Ability to work as part of a team.

8. Ability to competently use Microsoft Office, including Word, PowerPoint, Excel, and appropriate practice management software.

Supervision: This position do not have supervisory responsibilities.

Physical demands: Job incumbent must be able to lift and carry up to 25 pounds without accommodation in support of equipment and supplies. Position requires recurring bending, stooping, kneeling, reading, handling, speaking, hearing, and seeing. Position may require extended periods of standing. Incumbent must be able to work accurately and efficiently in a busy and sometimes stressful environment.


Summation



Summary: This position is fast paced and highly customer services oriented. The incumbent is responsible for helping the Clinical Staff Office and Quality Management Programs in the day to day tasks of the department.
