Position Summary:

The HR Coordinator, HR Client Services provides administrative support to the HR Client Services department including but not limited to the Human Resource Business Partner (HRBP), Manager, HR Client Services and Director, HR Client Services. The HR Coordinator will serve as a point of contact for employees to guide them through various Human Resources processes, questions and needs, as well as support the department with projects, data gathering and any other HR administrative duties.


Duties and Responsibilities:

• Perform customer service functions by answering employee requests and questions and escalating as appropriate.

• Performs data entry in HRIS system, including employee changes, termination, LOAs, work locations, job titles, etc.

• Conducts compliance audits, including I-9, onboarding, PTO, personnel files. Recommends corrective action.

• Perform onboarding administration for employees including New Hire Orientations, background check support, and ensure compliance of new hire onboarding documents.

• Perform termination processing and other duties including the preparation of termination letters.

• Assist with Employee handbook development, policy creation, and formatting.

• Assists with Leave of absence administration.

• Respond to unemployment claims in partnership with client contact(s) and internal team.

• Generate reports and data as needed from various technology platforms to satisfy internal and client needs.

• Research employment law information and updates based on client needs.

• Interpret and stay up to date on implications of Federal, State and Local laws and regulations related to the Human Resources function including, but not limited to: FLSA, ADA, HIPAA, other data privacy rules and regulations, Civil Rights Act of 1964, and FMLA.

• Assist HRBPs with Learning and Performance Management System administration and reporting.

• Makes photocopies; mails, scans, and emails documents; files documents and documentation into appropriate employee files; performs other clerical functions.
• Maintain online employee and client files.
• Interact professionally and communicate well with all internal departments, and customers/clients who are served by the function being coordinated.

• Leverage appropriate colleagues as needed across the organization to drive service levels to include partnership with HRBP on complex personnel related situations and recommendations.

• Assist in setting up clients with new technology access and audit set up for accuracy.

• Assist with client visits and projects as needed
• May be asked to shadow HRBPs on client or employee interactions to expand personal skills and knowledge.

• Assist, as needed, during Benefit Open Enrollment.
• May manage and service a small portfolio of PEO clients. Establish and maintain trusted relationships with a portfolio of clients and their employees to become a strategic business partner and advise on all aspects of the employee lifecycle, compliance, and short and long- term business needs. • Performs other related duties as assigned.


Education, Skills, and Experience:


• BA/BS Degree in Human Resources or a related area required.
• At least two (2) years HR experience. May consider relevant experience in lieu of education.
• PHR/SPHR or SHRM-CP certification preferred, but not required.
• Excellent technology and software skills required with proficiency in MS Office (Word, Excel, & PowerPoint, Outlook), and Internet Explorer, required.
• Knowledge of Adobe Acrobat and HRIS experience preferred
• Knowledge of general human resources policies, program, methods, practices, and procedures
• Excellent written and verbal communication skills
• Detail oriented with strong organizational skills; completes tasks accurately and efficiently
• Flexible with changing work demands
• Ability to work in a fast-paced environment, simultaneously handle a variety of tasks, and meet deadlines
• Works independently with little supervision
• Strong interpersonal and customer service skills with ability to establish and maintain effective working relationships with diverse markets, clients, and their employees
• Identifies and resolves problems in a timely manner and gathers and analyzes information skillfully
• Demonstrates high integrity, and exercises confidentiality, tact, and diplomacy
• Valid driver’s license and proof of insurance and/or reliable transportation
