Title: Project Coordinator
Immediate Supervisor: Vice President
FLSA Status: Exempt
General Summary: The Project Coordinator is responsible for managing the administrative / task functions in support of the development of Lake Nona.
Essential Job Functions:
- Manage the status of project documents, contracts and permits
- Process project requests for payment, change orders and building permits
- Manage requests for information (RFI’s) and submittal logs
- Compose all types of correspondence, including contracts, on behalf of supervisors
- Respond to routine external correspondence independently
- Responsible for the maintenance of department’s filing system including electronic (SharePoint)
- Enter contracts and budget information into MRI, this may include processing such items as, expense reports, consultant and contractor requests for payment, lien releases etc.
- Perform research and follow-up as necessary to solve problems
- Develop databases and spreadsheets
- Interface with contractors and consultants; assist with responses to all types of requests, both normal and those requiring research and follow-up
- Develop alternatives to handling requests where the problems are not clearly identified or involve sensitive issues
- Routinely respond back directly to the callers after performing research or follow
- Other duties as assigned
Requirements
Essential Qualifications:
- 4 years’ experience in real estate, design, construction managment/administrative service position preferred
- Bachelor’s degree in business, finance, construction, project management or related field and/ or equivalent work experience
- Working knowledge of a full range of administrative processes related to project design, construction administration and contract administration typically gained through experience
- Advanced proficiency in software, including but not limited to: Excel, Word, PowerPoint, Outlook, and Adobe Acrobat Professional
- Previous experience working with SharePoint
- Experience with project management software, such as MRI or Yardi
- Self-starter with strong problem solving skills
- Ability to create filing and retrieval logic for large sums of documents with a focus on paperless
- Demonstrated ability to be flexible in managing a workload of varied tasks, some with conflicting
- Highly organized with attention to detail
- Excellent written and verbal communications skills
- Ability to multitask and prioritize multiple demands
- Ability to input and access confidential and private information and data into electronic and paper files
- Must have valid Florida driver’s license and be eligible for coverage through companies automobile insurance
Essential Physical Requirements:
- Must be physically able to do assigned work as outlined above
- Must be physically able to sit and use the computer for hours at a time
- Must be able to lift up to 20 pounds
