Dispatcher SUMMARY Pairs motor vehicles and drivers in the morning prior to the beginning of drivers’ daily route Essential Duties and Responsibilities include the following.Other duties may be assigned.Dispatch all drivers and helpers. ·Daily record keeping of agency and helpers for payroll. Must record and collect all material given to drivers (ex: gas cards, fobs keys, radio’s, etc.). Maintain hand truck inventory and update spreadsheet. Maintain and update ez-pass account. Respond to all emails within 5 minutes and continue responses until resolved. Must complete hand off log with or without issues. Responsible for maintaining and charging all phones. Monitor geo tab and address drivers on all alerts. Update routers with delivery windows and any address issues. Check emails before dispatching for any updates, changes or notes. Answer all phone messages. Must monitor mobile cast (drivers must use phones daily and correctly) and address any issues. Complete daily activity sheet. Complete wufoo report daily. Update pickup sheet with purchasing twice a day 2pm and 4:00 pm. Send email updates regarding any issues with the routes including delays. Update invoice register in as400 for the company. During the day continually follow up on all pickups with drivers before they become issues. Assist drivers with directions, roadside assistance, accident guidelines, etc. Assist drivers on routes that may need help to make the deliveries. Check on all drivers for their progress during the day. Complete driver headcount sheet daily. Follow up on invoices upon arrival. Must have knowledge of routes to change drivers when necessary (call outs). Follow up with pickups during the day. OTHER DUTIES INCLUDE Compiles list of available vehicles. Dispatches drivers, issues keys, record sheets, credentials, two-way radios, parking cards, helpers’ vouchers, provides route sheets and invoices and prints maps of routes if necessary. Assigns vehicles according to factors such as length and purpose of trip, freight requirements and business needs. Assign helpers to drivers who are in need of help due to workload. Responsible for maintaining vouchers records for helpers. Records time of departure, destination, cargo, and expected time of return. Investigates overdue vehicles. Directs activities of drivers by two-way radio or cellular telephone. Confers with customers to expedite or locate missing, misrouted, delayed, or damaged merchandise. Maintains record of mileage, fuel used, repairs made, and other expenses. Establishes service or delivery routes. Issues equipment to drivers such as hand trucks, dollies, and other necessities. Responsible for completion of pre/post trip reports and record keeping. Maintain and complete all scheduled merchandise pickups. Monitor all shorts, missed picked & damages. Create and deploy 2 afternoon routes for late orders due to damages / shorts resulting from shortcomings in morning deliveries. Resolve delivery issue’s and coordinate communication with sales team. Handle petty cash for tolls / gas if needed. Maintain parking cards – Issue parking cards to city drivers. This ensures meters are paid less parking tickets are assume by fleet. Weekly helper temp plate – This temp plate monitors our drivers’ weekly incentives. Create Saturday’s schedule. Qualifications:To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. A.) from four-year college or university; Two years’ experience as a dispatcher with a major trucking company.Language Ability:Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.Ability to write routine reports and correspondence.Ability to speak effectively before groups of customers or employees of organization.Able to speak Spanish is helpful. Math Ability:Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs. Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations. Computer Skills: To perform this job successfully, an individual should have knowledge of Word Processing software, Inventory software and Internet software. Certificates and Licenses: No certifications needed. Supervisory Responsibilities: Directly supervises 3 or more employees. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.
