Position: Payroll Specialist
Salary Range: $50,000 - $60,000 (Depending on Experience)
Reports To: School Business Official (Business Manager)
Job Goal: To support the central office administration in a professional manner that leads to a strong financial reporting system that is efficient, accountable, responsible, and user friendly.
Professional Preparation, Experience, Skills:
- Bachelors’ degree preferred (not required), preferably in accounting, finance, or business administration
- Experience in General Accepted Accounting Principles and Procedures (preferably K-12 public school accounting) and data entry
- Experience processing payroll for 100 employees, including hourly wage calculations and contracted salary calculations, including employer payroll taxes, employee deductions, and IPERS
- Experience with managing employee benefits: health, dental, vision, cafeteria plan, health saving accounts, LTD and life insurance including carrier payments and reconciliation
- Experience processing accounts receivable
- Demonstrates proficiency in the use of office software (Microsoft Word, Excel and PowerPoint, Software Unlimited, Frontline (Absence & Time Management)) and aptitude to learn advanced technology applications
- Experience working with Employee Master Contract Agreements
- Strong mathematical and analytical skills
- Advanced clerical and general business office skills
- Strong organization skills necessary to maintain an efficient and effective records system
- Experience speaking to groups of varying sizes

Job Duties & Performance Responsibilities:
Payroll Functions:
- Enters employee salary and wage data into payroll system
- Processes all employee enrollment forms for all group health, dental, vision, cafeteria plan, health saving accounts, life and LTD insurance plans
- IPERS Reporting Official duties
- Ensures the accuracy of all benefit enrollments with the insurance carriers and payroll
- Prepares, reconciles and verifies the calculation of monthly premium statements for all group insurance policies. Makes necessary adjustments to payroll to reconcile employer and employee deductions in payroll to insurance carrier statements
- Assists employees as needed to ensure insurance coverage is being administered properly by the insurance carrier
- Responds to benefit inquiries from employees on insurance plan provisions, eligibility, plan benefits, enrollments, status changes and other general inquiries
- Maintains all employee insurance enrollment records
- Assists with new-hire orientations for payroll and employee benefits
- Prepares and issues quarterly and annual government reports: unemployment, state, federal 941, W2s and 1095s
- Completes or assists with state reports, Fall B.E.D.S., Certified Annual Report, 403b reports
Accounts Receivable Functions:
- Maintain accounts receivable for buildings, departments
- Verify cash receipts from buildings, departments
- Reconcile monthly bank and online receipt systems (Rev Trak and Infinite Campus) statements
- Verify and enter receipts
- Maintain digital copies of receipts for financial auditors
- Communicate with vendor’s/school districts as needed
Physical Requirements:
Physical requirements vary by individual job assignment but requires a minimum of the following physical requirements:
- Lifting, carrying, pushing up to 10-40 pounds on occasion
- Requires some stooping and kneeling
- Must be able to sit upright in a desk chair for 7-8 hours per day
- Must be able to perform data entry at a computer workstation for 7-8 hours per day

- 12-month position (260 days per year, 8 hours per day)
