POSITION SUMMARY:
The Payroll Specialist is responsible for assisting with processing semi-monthly payroll for over 1500 employees, including multi-state and multiple unions, as well as addressing other accounting functions as needed.
POSITION RESPONSIBILITY
- Assist with maintaining, preparing, and processing semi-monthly payroll using ADP Workforce Now
- Ensure time card approvals of semi-monthly with scheduling and timekeeping
- Run time and attendance reports using ABI (timekeeping system) for timesheet errors
- Contact Managers and Supervisors regarding unapproved timesheets or timesheet errors
- Ensure the accuracy of all payroll documents for processing and communicate with managers and supervisors as needed to clarify and gather missing information
- Enter time off data into payroll system and update PTO/vacation/sick accrual information as needed
- Assist with compiling and submitting payroll deductions related check requests and payments.
- Assist with preparing payroll related journal entries for period-end and various quarter and year end compliance reports.
- Calculate retro payments and process off cycle checks
- Complete and send garnishment orders to the debtor and debtee, and enter employee garnishments in payroll system and ensure balances are kept up to date
- Audit entries entered in payroll system against Pay Check Register
- Process all W2 reissue requests
- Answer payroll related e-mails and phone calls in a timely manner
- Complete wage portion of benefit audits for EDD
- Follow up on stale dated checks
- File all payroll related paperwork
- Ensure timely process of final paychecks for terminating employees
- Maintain confidentiality of company and personnel information
- Send out PTO/Sick/Vacation reports to management as scheduled
- Ensure all paycheck deductions are entered correctly and on time
- Prepare AP payment requests for all payroll related remittances – such as union dues and benefit payments
- Prepare and input Food and Beverage tips
- Perform other related duties as required and assigned
POSITION REQUIREMENTS:
- 3-5 years’ payroll experience, ADP experience preferred
- Associate’s Degree or equivalent
- Bilingual, English and Spanish
- Proficiency with Microsoft Office, including Excel and Word. Intermediate/Advanced Excel skills required.
- Strong communication and organizational skills
- Knowledge of Federal and CA labor laws
- General knowledge of payroll functions
- Experience with union payroll preferred
- Ability to deal with highly sensitive information
- Strong time management and follow-up skills
- Strong attention to detail
- Ability to quickly learn new software packages
