Summary:

The Executive Assistant will provide administrative and operational support to the CEO and other leadership team members at Tech Elevator. They will manage details like travel, appointments, email, and meeting planning so that the leadership team can focus on key goals. Therefore, we are looking for a highly organized and detail-oriented person who can set priorities and think on their feet. They will interact with the Tech Elevator team, students, and partners. About half of their time will be spent directly supporting the CEO, and the other half will include supporting the rest of the leadership team and performing some administrative functions of the Cleveland office. This job is based in Cleveland, Ohio, and they will be expected to work from Tech Elevator’s Midtown offices the majority of the week. This role reports to the Chief of Staff.


Essential Functions:

80%: Executive Assistant

For the CEO Specifically:

  • Meet regularly with the CEO and/or Chief of Staff to understand priorities and solve problems
  • Manage CEO’s schedule: book meetings, confirm appointments and handle logistics
  • Maintain a running list of tasks that require the CEO’s input or action such as documents to be reviewed and/or signed, important emails, invitations, and upcoming deadlines. Provide logistical support on all of these things and ensure nothing falls through the cracks.
  • Manage and submit expense reports
  • Organize and prioritize large volumes of emails
  • Manage entering and updating contacts, activities and follow-ups in the CRM

For the Leadership Team (C-Suite and VPs):

  • Handle travel planning and logistics: booking flights & accommodations, building itineraries, and fact sheets
  • Manage conference schedules and speaking engagements
  • Facilitate meetings through planning, agenda development, and distribution, note taking, and follow-up task assignments
  • Administer signature collection via Docusign
  • Develop presentations; edit and format documents
  • Act as a liaison with other teams and outside organizations
  • Handle confidential and non-routine information, when necessary
  • Support planning of key company activities such as the Annual All-Team meeting, monthly All-Office meetings, quarterly senior leadership meetings


20%: Mission Central Administration (Cleveland HQ)

  • Work from the Cleveland Office at least three days per week
  • Greet visitors
  • Check the mail and receive deliveries requiring signatures
  • Facilitate and occasionally drop off packages to mail services
  • Maintain the office kitchen
  • Manage office supply stocks
  • Manage organization google groups
  • Coordinate with VP of Operations and Cleveland Campus Director to ensure the facility runs smoothly
  • Prepare and send new hire packages


Desired Skills and Experience:

  • 2-5 years of experience supporting executives, preferably in a fast-paced environment, that includes experience in email and calendar management and travel planning
  • Proficient with digital tools such as Asana, Zoho, Google Workspace, Slack, DocuSign or other similar business applications
  • Experience with event planning is a plus

  • This is a hybrid position. This position is open to residents of Ohio who are able to work at least 3 days per week in the Cleveland office. The remainder of the week can be worked from home.
