Job Summary:
The Facilities Manager maintains and repairs Ted’s physical structures, machinery, and other company property with the guidance and direction of Company leadership and with the aid of the Facilities team, in order to maximize productivity and operational efficiency through, attention to detail, efficient action, and effective communication with store staff and Ted’s Management. The Facilities Manager makes decisions and solves problems utilizing experience, personal skills, and established processes in order to lead the Facilities department.
Objectives of the Role:
- Utilize experience, expertise, and initiative to maintain and repair Ted’s properties, assets, and other aspects of the Company’s facilities.
Supervisory Responsibilities:
- Directly supervise assigned Facilities Technicians, including but not limited to training, developing, coaching, and covering for time off when needed.
- Set goals that are specific, measurable, aligned with company goals, realistic, and time driven for each direct report.
- Follow the annual performance review process for all direct reports. Measure performance as compared to annual goals at least monthly to maintain focus and monitor progress. Recognize good performance and celebrate successes.
- Empower individuals and ensure direct reports receive ongoing challenges to increase skills and competencies. Check for understanding and assist individuals in problem solving in a timely manner.
- Coach direct reports consistently to reinforce positive behavior and to develop strengths and innate talent.
- Address any performance deficiencies immediately.
Duties/Responsibilities:
- Communicate with the Ted’s office staff, Ted’s store management, and Ted’s store staff via Upkeep, email, and phone for maintenance requests and needs.
- Communicate with the Facilities team to provide direction regarding duties, processes, and procedures, communicating priorities and duties as determined on an hourly, weekly, monthly, and annual basis.
- Review internal communication logs and respond to both negative, neutral, and positive aspects.
- Manage members of the Facilities team, including tracking hours, approving payroll, managing time off, and communicating all necessary information from Ted’s leadership.
- Provide receipts, notes, and any other relevant information regarding monthly expenditures to Ted’s financial personnel.
- Provide necessary and relevant information to Ted’s Leadership Team and financial personnel on an annual departmental budget
- Repair machines, equipment, or structures, using tools including but not limited to drills, hammers, paint brushes, and screwdrivers in an efficient and effective manner.
- Perform routine maintenance, such as inspecting drives, motors, or belts, checking fluid levels, replacing filters, or doing other preventive maintenance actions utilizing senses including but not limited to touch, sight, and hearing as well as experience, training, manuals, and defined processes.
- Dismantle machines, equipment, or devices to access and remove defective parts, using hoists, cranes, hand tools, or power tools.
- Diagnose mechanical problems and determine how to correct them, checking blueprints, repair manuals, or parts catalogs, as necessary.
- Maintain or repair specialized equipment or machinery located in stores, offices, or other facilities.
- Create and maintain an up-to-date list of all equipment as well as ancillary documentation for equipment, including purchase receipts, records of service dates, and records of any repairs completed.
- Determine if scope of work requires hiring of outside vendors, research and select potential vendors, solicit multiple quotes, evaluate quotes, choose vendor with guidance of the leadership team as needed, and supervise work completed by vendors.
- Oversee invoicing for all vendors; receive estimates for proposed work, approve quotes from selected vendors, review invoices for work completed, communicate approval of invoices to appropriate personnel, and utilize Docuware in order to complete workflows and maintain visibility.
- Create and maintain a list of vendor information, including contact information, specialties, and COI records.
- Drive Ted’s vehicles regularly and in order to deliver goods and materials to Ted’s locations, pick up goods and materials from vendors, and perform other driving and delivery related duties as needed, as well as driving Ted’s vehicles as a means of self-transportation.
- Maintain company delivery in neat, organized manner and perform regular recurring deliveries and courier-related tasks on scheduled and as needed basis.
- Manage order requests from Ted’s staff for items such as t-shirts, hats, visors, smallware, and other miscellaneous items as needed for timely and efficient delivery to Ted’s locations.
- Organize and maintain inventory of goods and materials in order to maintain appropriate levels of stock by alerting appropriate personnel with restock needs, ordering products as needed, re-organizing stock, distributing products, and reporting inventory levels to appropriate personnel in a timely manner.
- Work with Ted’s Leadership Team and financial personnel on capital expenditure needs, approval processes for purchases and expenses.
- Performs other related duties as assigned.

Education and Experience:
- A valid driver’s license and ability to pass an MVR check.
- Ability to pass a NYS compliant drug screening.
- Reliable transportation to any Ted’s location.
- At least 5 years of previous professional maintenance experience required.
- Previous management experience required.
- Previous professional delivery experience preferred.
- OSHA safety certification preferred.
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Prolonged periods of standing and walking.
- Prolonged periods stooping, crawling, or crouching.
- Working in high heat and low heat environments.
- Must be able to lift up to 75 pounds at times.

Salary : $60,300 - $76,300
