Position Summary
The Building Services Coordinator will work closely with the Building Services Manager to support building services activities for Teleflex’s Morrisville, NC facility. This position will be the first point of contact for internal and external customers seeking support and information from the Building Services department.
Principal Responsibilities
- Conference room set up and clean up, including monitoring conference room schedules, and ordering supplies for conference rooms.
- Maintain master seating and shared storage space information for all employees. Update routinely. Perform audits to ensure accurate information is captured. Work closely with Building Services Manager on current space availability and upcoming space needs.
- Assist with moving boxes and light inter-office moves
- Preparing offices and workstations for new hires
- Create badge/badge access assignments for new hires and modifications to employee access in Security system
- Provide lunch coverage for Reception Officer – greet visitors, answer telephone, screen and direct calls
- Back up for Mailroom Coordinator when out - sort and distribute incoming and interoffice mail, assist in processing express and overnight packages, assist in receiving in incoming packages.
- Assist with general appearance of office, including walk around, compiling checklist for maintenance issues, and construction projects.
- Daily check of supplies for breakrooms, including emptying the coffee machine bins.
- Responsible for creating, tracking and seeing to completion Work Order requests made to Landlord and outside vendors/contractors.
- Ensuring storage rooms are compliant and kept organized.
- Assist with ensuring the environmental health and safety of employees by routinely checking defibrillators, stocking first aid stations, filling sanitizing stations and disinfectant wipe stations. Monitor any COVID-19, fire safety and other procedures in place.
- Responsible for entering purchase orders for procured items by the Building Services department.
- Under the supervision of the Building Services Manager, manage all outside facility vendors and contractors in support of the Building Services Department, including maintaining records and contracts, coordinating project activities, and providing scheduling support.
- Monitor incoming employee requests, assign and see to completion. Respond in a timely manner to all employee requests. Track all open requests and length of time to complete.
- Check HVAC systems each morning for proper function, report any issues to Landlord as necessary.
- Act as Alternate Emergency Coordinator.
- Additional responsibilities and special projects as assigned
Education / Experience Requirements
- College degree preferred or equivalent experience.
- Demonstrated ability to work and communicate professionally, verbally, and in written form with internal and external customers
- Demonstrated customer service excellence
- OSHA certification preferred (Teleflex will pay for this certification if needed)
- CPR certification preferred (Teleflex will pay for this certification if needed)
- Must be able to lift up to 50lbs
Specialized Skills / Other Requirements
- General facility operations knowledge
- General knowledge and use of Microsoft Suite of products including Excel, Outlook, Word, and PowerPoint; SAP; Security system software
- Responsibility taken for follow-up on action items
- Desire to keep workspaces neat and clean at all times.
- High organizational skills in managing multiple projects simultaneously
- Ability to perform and manage technically complex projects using independent judgment and personal initiative
- Build strong internal and external relationships using effective verbal and written communication skills
