Office Coordinator to join a growing firm in
Responsibilities
Tampa, FL. The ideal candidate will be able to manage administrative tasks for the firm as well as be the office liaison with the building facilities manager. Must be a self-starter, detailed oriented, energetic, and possess strong written and verbal communication skills with the ability to follow procedures and take direction. Responsibilities:
Perform administrative tasks including multiple phone lines, sorting and distributing mail, and managing conference room reservations setup, audio/visual conference calls.
Ensure all office equipment is working properly through checks and scheduled maintenance, and when necessary, light bulb replacement.
Manage monthly reports and offsite records, ensuring accuracy of data entry.
Manage office supply orders and distribution.
Coordinate with building facilities and vendors regarding maintenance. Including cleaning services, HVAC, filters, and equipment warranties and preventive maintenance is followed.
Coordinate with facilities and interoffice staff to manage office moves, relocations, and set up office space for newly hired attorneys and staff.
Repair office furniture (i.e., chairs, desks, and file cabinets) as needed.
Maintain the proper general appearance of the office, which includes regular inspections of the office and taking proper action to prevent or correct as needed.
Assist With Tasks And Projects As Needed. Education
College degree preferred, but not required.
Office Services/building Maintenance Experience Required.
Prior video conferencing, mailroom, and records experience a plus.
Prior experience in a law firm environment a plus.
Excellent verbal and written communication skills with the ability to interact with all levels of attorneys, management, and staff.
